Group bookings: several people, one appointment time, a fixed number of places

A group booking is an appointment where more than one person can book the same time. Set how many people can book each time, and how many places one visitor can take. CaliDiary keeps count as people book, stops at the limit, and never lets two people take the last place. It works on every plan, including Free.

Available Plans: Free, Solo, Pro

Everything about group bookings and places

When one time has several places

Many bookings are not one-to-one: a first-aid briefing with 12 places, a council information session, a volunteer shift that needs six people, a seminar for clients, or a co-working room with 20 desks. In CaliDiary these are appointments, set on the appointment booking set-up:

  • People who can book the same time: 1 for one-to-one, more for a briefing, clinic or drop-in (for example 12).
  • Places one visitor can take (when more than one person can book): for example 1 for a briefing, up to 4 for a family visit.

Visitors see the times that still have room, choose how many places they need (if you allow more than one), and book.

Counted inside the booking lock

Places are counted at the moment of saving, inside the same lock that prevents double bookings. When two people try to take the last place at once, the first gets it and the second is told straight away, shown the times that still have room, and keeps what they typed. A session can never end up over its limit.

Shared seats, desks and chairs

The same settings cover "20 desks, each visitor books one or more": an appointment booking set-up where 20 people can book the same time and, say, one visitor can take up to 2 places. Booking whole rooms, rooms of different sizes, or equipment as a resource alongside a person is on Pro, under rooms, desks and equipment.

Questions about group bookings and places

Can one person book several places?
Yes, if you allow it. Set the most places one visitor can take, for example up to 4 for a family.
What happens when a session is full?
Its time stops being offered. On Solo and Pro, a waiting list offers freed places to the next person.
Can group sessions be free?
Yes. Leave the price empty and people book their place with no payment step, which suits briefings, open days and volunteer shifts.
Is this the same as classes and courses?
No. A group booking is an appointment that several people can book at the same time. Classes and courses have their own page in CaliDiary, with weekly timetables, teachers and levels; passes (Solo and Pro) and courses (Pro) build on them.
