Online booking for embassies, consulates and visa centres

CaliDiary lets embassies, consulates and visa centres offer appointments on their own WordPress website. Applicants choose the service and the office, upload the documents you ask for, and their time can be held until staff confirm it. Busy days stay orderly, fake bookings are kept out, and applicants' details stay on your own website.

Examples

How it works day to day

Made-up businesses, real CaliDiary features. Each example names the features that do the work.

Appointments instead of queues at the door

The Consular Section of the Northland Embassy (a made-up embassy) replaces its morning queue with booked appointments. Applicants choose the service, then a time, and arrive with a confirmation email showing their booking reference.

Several offices, one booking form

On Pro, the embassy and two consulates are locations, each with its own staff and services. Applicants choose the office first and only see times when someone there offers that service.

Which plan

Pro suits an office with several staff

Consular and visa services usually have several staff and more than one office, which needs Pro: unlimited people and locations, staff sign-in without WordPress dashboard access, and branch managers who see only their office. A single honorary consul can start on Solo, which adds document uploads and card payments.

Order at the door, fairness online

Appointment slots at consular and visa offices are precious. CaliDiary checks every booking again inside a database lock, so a slot can never be given to two applicants, and limits how many bookings one visitor can make in a short time, so nobody can sweep up a whole morning. A hidden spam trap catches automated form-fillers, and Google reCAPTCHA can be added with your own keys. The booking lock and spam protection work on every plan.

Documents first, appointments second

Many applications fail because a document is missing. On Solo and Pro, the booking form can ask for uploads: passport scans, letters, photographs. Files are checked by their contents, stored in a private folder that blocks web access, and opened only by signed-in staff. With I'll confirm each booking myself, the time is held while staff review the documents, then accepted, or declined with a reason, before anyone travels.

Several offices and teams

On Pro, each office is a location with its own staff, services and working hours, including national holidays as special dates. Applicants choose the office first, then see only the times someone there is free. Staff sign in on your own website to see their own diary, and branch managers see everything at their office.

Fees where they apply

Where a service carries a fee, applicants can pay by card when they book, through your own Stripe, PayPal or Mollie account, with no fee from CaliDiary. Free services book straight through. Every payment is recorded against the booking, and Solo and Pro make numbered invoices and credit notes.

Accessible and private

The booking form is built and tested to WCAG 2.2 AA, working by keyboard and with screen readers in light and dark mode. Applicants' details and documents stay in your own database and on your own server, never on CaliDiary's, and WordPress's export and erase tools include them.

On the roadmap

Encrypting sensitive answers in the database, and text reminders through your own provider, are on the roadmap. See the features page and pricing for everything that works today.

Questions from embassies and visa centres

Can applicants upload documents with their booking?
Yes, on Solo and Pro. You choose which kinds of file are allowed and how large; files are stored privately on your own website and only signed-in staff can open them.
Can we check an application before confirming the time?
Yes. Choose I'll confirm each booking myself for that service. The time is held while staff review the documents, and the applicant is told when you accept or decline.
How do you stop automated or fake bookings?
Every booking form has a hidden spam trap and a limit on how many bookings one visitor can make in a short time, and Google reCAPTCHA can be added with your own keys.
Where is applicants' personal data stored?
In your own WordPress database and a private folder on your own server. It never reaches CaliDiary's servers.
Does CaliDiary know visa rules?
No. CaliDiary is booking software: your office decides the services, the documents required and who is eligible.
