A diary with many different chairs
A dental practice runs several diaries at once: dentists, hygienists, therapists, sometimes more than one surgery or site. In CaliDiary, each person has their own hours, breaks and time off, and offers only the services they provide. Patients choose a service, then a person or the first one free, and are only offered times that fit the whole appointment plus the cleaning buffer after it.
With more than one site on Pro, patients choose where to come first and only see that site's team and times. Working hours by location let a hygienist split the week between two practices.
Keeping cancellations and no-shows down
Every patient gets a confirmation and an email reminder before the appointment, each with a link to cancel if they can't come, so the time is freed rather than wasted. On Solo and Pro, several reminders can go out before each appointment, a waiting list offers freed times to the next patient, and long treatments can take a deposit by card. Text message reminders are on the roadmap.
Patient information stays in the practice
Answers to medical questions, uploaded photos and appointment notes are stored in your own WordPress database and a private folder on your server, visible only to signed-in staff. WordPress's export and erase tools include CaliDiary's data for patients' requests. Encrypting sensitive answers in the database is on the roadmap. Your clinical records stay in your practice management system.
Paying
Treatments can be paid on the day, or before by bank transfer with the patient's own reference. Free consultations have no payment step. On Solo and Pro, numbered invoices are made on your own website. Patients can also pay by card, in full or as a deposit, through your own Stripe, PayPal or Mollie account.
Combined visits, rooms and deposits
On Solo and Pro, a check-up and a hygiene appointment can be booked as one visit, back to back. On Pro, surgeries and equipment can be booked as resources, so a treatment is only offered when the right room is free. See every feature and its plan on the features page.
