Client money questions deserve a careful first step
People rarely book a financial adviser on a whim. They are usually facing a decision with real consequences: retiring, buying a home, protecting their family. A booking page that asks a few sensible questions, shows clearly whether the first meeting is free, and confirms the time straight away helps them take that step.
With CaliDiary the first meeting and the paid work live on one booking form. A free first meeting needs no payment step at all. Paid meetings can be paid before the appointment by bank transfer, with the client's own booking reference shown beside your bank details, or on the day. On Solo and Pro, a service can also carry a payment link you already use. Clients can also pay by card inside the booking form, in full or as a deposit, through your own Stripe, PayPal or Mollie account.
Keeping financial information where it belongs
Payslips, bank statements and pension letters are sensitive. Files uploaded with a booking are stored in a private folder on your own server that blocks web access, are checked by their contents rather than their names, and can only be opened by signed-in staff. Photos lose their hidden location details. When the booking is deleted, or a client asks for their data to be erased, the files go too.
Your notes stay with you: private notes on a client's profile and appointment notes on each booking are for staff only. WordPress's own export and erase tools include everything CaliDiary holds about a client, which helps when someone asks what you keep.
Reviews without the diary filling at random
Annual reviews tend to bunch up. A booking window limits how far ahead clients can book, special dates let you open extra hours in busy weeks, and the booking lock makes sure two clients never land in the same slot. Each adviser can have their own hours and the services they offer, so a mortgage client only sees the brokers who handle mortgages.
Calendars, video and reminders
On Solo and Pro, two-way sync with Outlook and Google calendars keeps each adviser's own appointments out of the booking form, remote reviews get an automatic Zoom, Teams or Google Meet link, and several reminders can go out before each meeting. Clients can also pay fees by card, in full or as a deposit, through your firm's own Stripe, PayPal or Mollie account. Every feature and its plan is on the features page.
