Online appointment booking that works while you do

CaliDiary is a WordPress appointment booking plugin that turns your website into an online booking system. Customers pick a service, a person (or the first one free) and a time that is really free, and are booked straight away with a confirmation email. No phone tag, no back-and-forth emails, and every booking stays in your own WordPress database.

Available Plans: Free, Solo, Pro

Everything about online appointment booking

Why small businesses move booking online

Every booking taken by phone or email costs you time: a missed call, a voicemail, three emails to agree a time. An online booking system on your own website removes all of that. Customers book when it suits them, including evenings and weekends, and only see times you are really free. You open your diary to find it filled, not to start a conversation.

CaliDiary does this as a WordPress booking plugin, so the booking form sits on your own site, in your own colours, rather than on someone else's platform. Start on the free plan, then add online payments or Google Calendar sync when you need them.

How a booking works

  1. The customer picks a service. Each shows its length and price, or "Free".
  2. They choose who (when more than one person offers it) or leave it to "anyone". With "anyone", CaliDiary gives the booking to the least busy person who is free.
  3. They pick a day and a time. The calendar only offers times that fit the service inside your hours, after your minimum notice and within your booking window, with buffers kept clear. It can be used entirely by keyboard, with arrow keys moving between days.
  4. They answer your questions: name and email, plus whatever your booking form asks.
  5. They are booked, or, if you approve bookings yourself, their request is received and the time is held.

The customer gets a confirmation email with a link to view or cancel. You get an email about the new booking, and it appears on the Overview screen under Upcoming.

Booking set-ups and services

A service is what customers book: a name, a length, a price (or none) and the people who offer it. A booking set-up holds the rules for booking (whether bookings are confirmed straight away or approved by you, when customers pay, and how many people can book the same time), the services it offers, and its own shortcode. A small practice might have one booking set-up for consultations; a training centre one for one-to-one sessions and one for group sessions, where several people book the same time.

Built for every visitor

The booking form is a lightweight web component (about 24 KB), built and tested to WCAG 2.2 AA: it works with a keyboard, with screen readers, at large text sizes, and in light or dark mode. It keeps its own styles inside the page, so your theme can't accidentally break it, and it takes your accent colour and rounding from the block, shortcode or Elementor widget settings.

Because free times are fetched from your website when the form is shown, page-caching plugins never show yesterday's times. Every booking is checked again when it is saved, so double bookings can't happen.

Managing bookings

The Overview screen lists upcoming bookings, requests waiting for you (with a count), past bookings and cancellations. Appointments, Classes and courses, and Events each have an Overview of their own. Open a booking to accept, decline, cancel, move it, or mark it completed or missed. Services and people with bookings are protected from being deleted by mistake.

Where the data lives

Bookings and customers are stored in your own WordPress database. Nothing about your bookings or your customers is sent to CaliDiary.

Questions about online appointment booking

Is there a free online booking system plan?
Yes. The free plan takes unlimited bookings, with unlimited booking set-ups and up to 5 services, for one person. Solo adds online payments, calendar sync and up to 3 locations; Pro adds a whole team and unlimited locations.
Do my customers need an account to book?
No. They give their name and email (and anything else you ask). CaliDiary recognises returning customers by their email address, so their history builds up in one profile.
Can customers change or cancel a booking themselves?
They can view and cancel it from the link in their emails, and book again from their customer portal. Moving a booking to a new time is done by you or your staff from the Overview screen.
Does it work with Google Calendar?
Yes, on Solo and Pro. Two-way sync puts bookings into Google, Outlook or Apple calendars, and busy times there are not offered to customers.
Can customers pay when they book?
Yes, on Solo and Pro, by card through your own Stripe, PayPal or Mollie account, in full or as a deposit. On every plan, bookings can also be free, paid on the day or paid by bank transfer.
Will it work with my theme and my caching plugin?
Yes. The booking form is a self-contained component that keeps its own styles, so themes don't break it, and it fetches free times when the page is viewed, so cached pages still show the right times.
How many services and booking set-ups can I have?
Booking set-ups and bookings are unlimited on every plan. The free plan includes up to 5 services (each class counts as a service); Solo and Pro have no limit on services.
Can I add bookings that come in by phone?
Yes. Staff add them from the Overview screen, and they go through the same checks as online bookings.
