Rooms, desks and equipment: book the place as well as the person

Shared seats work on every plan: an appointment booking set-up where 20 people can book the same time covers 20 hot desks. On Pro, resources let you book a room whole or by the seat, choose rooms by size, and make a service need a room as well as a person, such as a massage that needs a treatment room.

What it does for you

  • Any suitable room picks the smallest

Desks shared up to capacity.

Hot desks and quiet rooms are booked seat by seat until they are full.

  • Day-long desks work too
  • Maintenance time off

A massage needs a therapist and a room.

A time is only offered when everything the service needs is free.

  • Resources on Pro
  • Staff calendar by resource

In detail

Everything about rooms, desks and equipment

Shared seats on every plan

On an appointment booking set-up, set People who can book the same time and Places one visitor can take. Example: a co-working space with 20 hot desks sets 20 people per time and up to 5 places per visitor. Each booking takes its places; the time is offered until all are gone, and the booking lock makes sure the last desk goes to one person.

Resources (Pro)

A Resources screen for rooms and equipment, each with:

  • a name, description and optional photo, and its location;
  • a quantity (for example 3 identical meeting rooms) and a capacity (people each one holds);
  • its own opening hours, or the location's, and time off for maintenance.

Each resource is booked one of two ways:

How Example
Whole: one booking takes one unit, whatever the number of people; only rooms big enough are offered "Board room, seats 12": a booking for 8 takes the whole room
By the seat: people share the unit up to its capacity "Quiet room, 10 desks": ten people book the same hour

Services that need a room

A service can need a resource as well as a person (a massage needs a therapist and a treatment room) or a resource and no person (meeting room hire). A time is only offered when everything needed is free. Visitors can choose a particular room or "any suitable", and "any" picks the smallest room that fits, keeping big rooms for big groups. Prices can be per booking, per person or per hour. Staff see a calendar view by resource, showing each unit's bookings.

Questions about rooms, desks and equipment

Can I take desk bookings on the free plan?
Yes, for shared desks or seats. Set places per time (for example 20) and the most places one booking can take. The time is offered until all places have gone.
What do resources add?
Rooms and equipment with their own quantity, capacity, hours and maintenance time off; booked whole or by the seat; and services that need a room as well as, or instead of, a person. Resources are on Pro.
Can a room be hired for a whole day?
Yes: a day-long time works. Bookings that span several days, such as equipment hire or holiday lets, are outside what CaliDiary is built for.
Is restaurant table booking included?
No. Combining tables, covers and walk-ins are a different kind of system and are not part of CaliDiary.
