Ask only what you need
People who come for advice are often under pressure, and every extra question is a reason to give up. CaliDiary's booking form builder lets you keep the form short: name, a way to contact them safely, and what they need help with. On Solo and Pro, a follow-up question can appear only when it applies, so someone booking a call-back is asked for a phone number while someone coming in is not.
Confidential by design
What a client tells an advice service is sensitive. CaliDiary stores bookings, answers, notes and uploaded documents in your own WordPress database and on your own server; they never reach CaliDiary's servers. Uploaded documents sit in a private folder that blocks web access, only signed-in staff can open them, and photos have their location data removed. When a client asks what you hold, or asks for it to be erased, WordPress's own tools include CaliDiary. Details on privacy and GDPR tools.
Accessible to the people who need you most
The booking form is built and tested to WCAG 2.2 AA: keyboard and screen-reader support, readable colours, large text, dark mode and reduced motion. Asking "Do you need an interpreter or any adjustments?" lets the adviser prepare.
Every appointment counts
Advice appointments are scarce, and a missed one is a slot someone else needed. Every confirmation and reminder email includes a link to view or cancel, so clients who can't come free the time for others. Requests you approve hold their time while you check, and are declined automatically if nobody answers before the appointment would start.
Online advice, waiting lists and volunteer access
On Solo and Pro, online appointments get their own video link and full sessions keep a waiting list. On Pro, volunteer advisers sign in on your website to see their own appointments, without WordPress dashboard access. Text reminders and encrypted sensitive answers are on the roadmap.
