Online booking for community centres, halls, faith groups and clubs

CaliDiary lets community centres, village halls, faith groups and clubs take bookings on their own WordPress website. Hirers book a room or the hall by the hour, groups fill their sessions, repair cafés hand out free slots, and events sell or give away places. Paid hire and free bookings sit side by side, and everyone's details stay on your own website.

Weekly classes run by local groups

A Tuesday seniors exercise class and a Thursday toddler group run as classes with places, and regulars use class passes. When a session is full, others join the waiting list.

Which plan

Pro suits a centre with several rooms

Free sessions, group places, simple classes and requests you approve are all on the free plan. Solo adds events with QR tickets, card deposits, invoices, waiting lists and class passes. Rooms with their own capacity, booked whole or by the seat, need Pro.

Compare Free, Solo and Pro

One building, many uses

A community centre is a hall for hire on Saturday, a toddler group on Tuesday, a repair café once a month and a meeting room for the residents' association. CaliDiary handles all of them on one booking form. Paid hire and free sessions sit side by side, because the price is set per service, and every booking is checked against the others, so the hall is never double booked. More on free and paid bookings.

Room and hall hire

On Pro, each room is a resource with its own capacity, booked whole by one group or by the seat. A booking for 60 people is only offered rooms that fit, and time to set up and clear is kept free after each hire. Evening and weekend hire can be held as requests while you check the hirer, and deposits are taken by card or by bank transfer with the hirer's own reference. Solo and Pro make numbered invoices for hire, with VAT if you charge it.

Groups, classes and clubs

Local groups and clubs run regular sessions as classes with places, with class passes for regulars on Solo and Pro. Full sessions offer a waiting list. On Solo and Pro, clubs and societies can sell or give away tickets for events, with a QR ticket for every guest and check-in by phone at the door.

Repair cafés and drop-ins

Free slots book straight through with no payment step, and the form can ask what needs fixing, so volunteers know what to bring.

Everyone's details stay local

Hirers' and visitors' details are stored in your own WordPress database and never reach CaliDiary's servers. The booking form is built and tested to WCAG 2.2 AA.

On the roadmap

Text reminders through your own provider are on the roadmap. See the features page and pricing.

Questions from community centres

Can we hire out rooms by the hour?
Yes. On Pro, each room is a resource with its own capacity, booked whole or by the seat. On Free and Solo, each room can be its own service.
Can we check a hirer before confirming?
Yes. Choose I'll confirm each booking myself, and the time is held while you check.
Can free and paid bookings sit side by side?
Yes. The price is set per service, so free community sessions and paid hire share one booking form.
Can events have free tickets?
Yes, on Solo and Pro. Free events book with no payment step, and every guest gets a QR ticket for check-in.
Can a hirer book the hall for a whole weekend?
Each day can be booked on its own; hire that runs over several days as one booking is not something CaliDiary is built for.
