Online booking for barbers

CaliDiary lets clients book cuts, fades and beard trims on your barber shop's WordPress website. They choose a barber or take the first free chair, and only see real free times. Walk-in hours stay free when you want them to, and the client list lives on your own website.

  • Free plan, no booking limit
  • Bookings stay on your website

Examples

How it works day to day

Made-up businesses, real CaliDiary features. Each example names the features that do the work.

First free chair, or a favourite barber

At Northside Barbers (a made-up shop) three barbers work Saturdays. A regular books Dan by name; a new client picks "anyone" and is given whichever barber is least busy at that time. Both see only times when someone who does skin fades is free.

Keeping walk-in time free

The shop takes walk-ins on weekday afternoons. Opening hours for online bookings end at 1pm on those days, and a special date opens the full day online in the run-up to Christmas, without changing the normal weekly hours.

Which plan

Free suits a barber working alone; Pro suits a shop

A barber working alone with a short price list can run on the free plan: unlimited bookings, five services, email reminders. Solo adds unlimited services, look busy and photo uploads. As soon as two or more barbers take bookings, choose Pro.

Short appointments, packed tight

A barber's day is made of short slots back to back. CaliDiary fits each service at its own length, so a 15-minute beard trim can fill a gap a haircut can't, and a 5-minute buffer after each cut keeps time to sweep up without leaving visible gaps. The booking lock makes sure two clients never get the same chair at the same time, even if they book in the same second.

Walk-ins and bookings side by side

Many shops do both. Set the hours when online bookings are accepted, per day, and keep the rest for the queue at the door. Special dates change the hours for one day only, for a bank holiday or a busy week, without touching your normal week. Details on opening hours and time off.

Cancellations that free the chair

Every confirmation email has a link to the client's own booking page, where they can cancel. The time goes straight back on the booking form, so someone else can take it. A no-show can be marked as missed and stays on the client's history, and on Solo and Pro you can take a deposit by card when people book.

Your clients, your list

Client names, numbers and visit history are stored in your own WordPress database. CaliDiary doesn't run a marketplace and never shows your clients other barbers.

Booked from a phone, in under a minute

Most barber bookings are made on a phone, often on the way somewhere. The booking form is built for that: it works on small screens, shows a short list of services with their prices, and asks only the questions you add. It takes your shop's accent colour and dark or light mode, so it looks like part of your website rather than a third-party page. Clients get a confirmation email straight away, with a link to cancel if their plans change.

If you rent a chair and are building up a client list, look busy on Solo hides a share of your free times, so a new diary doesn't look empty. It never tells clients "only two left"; it simply offers fewer times.

Cards, combined visits and the waiting list

On Solo and Pro, clients can pay or leave a deposit by card through your own Stripe, PayPal or Mollie account, choose a cut plus a beard trim as one visit, and join the waiting list when Saturday is full. Text reminders are on the roadmap. See every feature and its plan on the features page.

Questions from barbers

Can clients choose a barber, or take the first one free?
Both, on Pro. Clients pick a named barber or "anyone"; "anyone" goes to the least busy barber who is free and does that service.
Can I keep some hours for walk-ins only?
Yes. Set the hours when online bookings are taken. Anything outside them is never offered online, so it stays free for walk-ins.
Can I charge for no-shows?
Charging a no-show fee to a saved card is on the roadmap. Today you can take a deposit by card when clients book (Solo and Pro), mark a booking as missed, and the client's profile keeps the history.
How short can appointments be?
As short as you set them. A 15-minute beard trim is offered wherever 15 minutes (plus any buffer) are free.

Hair salons

Clients choose their stylist and a service that books at the right length.
