Online booking for hair salons

CaliDiary is a salon booking system that puts a booking form on your salon's own WordPress website. Clients pick a service, choose their stylist or the first one free, and only see times long enough for that service, with clean-up time kept clear. Client details and notes stay in your own website's database.

Examples

How it works day to day

Made-up businesses, real CaliDiary features. Each example names the features that do the work.

A colour booked at the right length, with the right stylist

A client of Jade Hair Studio (a made-up salon) books a full head colour online at 10pm. She chooses Mia, her usual colourist, and only sees times where Mia has two hours free plus fifteen minutes to clean the basin and station afterwards. Mia sees the booking on the Overview screen the next morning.

A patch test question before a first colour

Anyone booking a colour for the first time is asked whether they have had a patch test with the salon in the last few days. On Solo or Pro, a follow-up question appears only when they answer no, and the answer sits with the booking for the stylist to see.

A new chair that doesn't look empty

A stylist who has just gone self-employed and rents a chair has a diary with every slot free. With look busy set to "some" on Solo, about a third of free times are hidden from the booking form, so the page looks like a working diary, while she can still book any hidden time herself.

Notes that follow the client

After each appointment the stylist adds an appointment note: the colour formula, the toner, how long it was left. Next time, whoever does the colour opens the client's profile and sees every past visit and note, without hunting through a paper card.

Which plan

Pro suits a salon with a team; Solo suits a self-employed stylist

Free covers one person with up to five services. A self-employed or chair-renting stylist usually wants Solo: unlimited services, look busy, choice questions and photo uploads, and the calendar-beside-times design. A salon where several stylists take bookings needs Pro, which has no limit on people.

Compare Free, Solo and Pro

Length matters more than anything

A salon diary is a puzzle of different lengths: a fringe trim, a two-hour colour, a blow-dry squeezed in before lunch. CaliDiary fits every service inside each stylist's hours at its own length, with the buffers you set before and after. A colour that needs two hours plus clean-up is only offered where two hours and fifteen minutes are free, and the booking lock stops two clients landing in the same chair.

Each stylist, their own diary

On Pro, each stylist has their own working hours, breaks and time off, and the services they offer. A junior who doesn't do colour yet never appears for colour bookings. Holidays are added as time off, and the online diary simply stops offering those days. See team scheduling.

Your look, not ours

The booking form takes your salon's accent colour, light or dark mode and corner rounding, so it sits naturally on your website. On Solo and Pro, the calendar-beside-times design shows the calendar and free times side by side on wide screens.

Client information stays in the salon

Client details, answers and appointment notes are stored in your own WordPress database, never on our servers. Photos clients upload with a booking (Solo and Pro) are kept in a private folder on your server, only your staff can open them, and their hidden location details are removed.

Longer visits, deposits and cancellations

On Solo and Pro, clients can book several services in one visit, long colour appointments can take a deposit by card, and when a cancellation frees a slot, the waiting list offers it to the next client by email. After the visit, clients can be asked for a review on your own review page. Text and WhatsApp reminders are on the roadmap. See every feature and its plan on the features page.

Questions from hair salons

Can clients choose their stylist?
Yes, on Pro, where several people can take bookings. Clients pick a stylist or "anyone", and only see that person's free times. "Anyone" goes to the least busy stylist who offers the service.
Can a client book a cut and a colour together?
Yes, on Solo and Pro. Let clients choose more than one service, such as a cut and a colour, and CaliDiary books them back to back with the same stylist, adding up the time and the price.
Can I take a deposit for long colour appointments?
Yes, on Solo and Pro. Take a deposit by card when the client books, through your own Stripe, PayPal or Mollie account, and the rest on the day. On every plan you can also ask for payment before the appointment by bank transfer.
Can I stop people booking a slot I need for clean-up?
Yes. Add a buffer after the service, and CaliDiary never offers a time that would squeeze into it.
Will text reminders be possible?
Email reminders work on every plan today. Text and WhatsApp reminders through your own provider account are on the roadmap.
