Team and places

Your team runs their diary, without touching your WordPress dashboard

On every plan, team members sign in on your own website and see "My diary" in your site's look, with no access to the WordPress dashboard, your theme or your plugins. On Pro you also choose what each person sees: only their own diary, everything at their location (branch managers), or all bookings but not settings. It all stays on your website.

Available Plans: Free, Solo, Pro

In detail

Everything about team sign-in, no dashboard access

Why a team sign-in matters

Giving every receptionist, stylist or associate a WordPress login means giving them the dashboard: settings, plugins and your theme, one wrong click away. CaliDiary gives each person their own sign-in on your website instead. They see My diary in your site's look and can run their day, and nothing else on your website changes hands. Their bookings and your customers' details stay in your own website's database, never on our servers; see where your data lives.

How it works

  1. On the Team screen, press Invite to sign in for a person.
  2. They receive an email link and set their own password.
  3. They sign in at yoursite.com/calidiary-login, with their username or email, and see My diary: their bookings, marking people as arrived or missed, appointment notes, and their own time off.

Behind the scenes, CaliDiary gives them a dedicated WordPress role with no dashboard access, so WordPress's own password safety (hashing, resets, lockouts and two-step plugins) protects them. "Forgot password?" uses WordPress's own reset email.

Access for each person

Access Sees
Only their own diary (default) Their own bookings and time off
Everything at their location Every booking at their branch: a branch manager
All bookings, but not settings The whole diary, without changing how CaliDiary is set up

The sign-in page is on every plan; the number of team members follows your plan (one person on Free and Solo). The access levels above are part of Pro, alongside unlimited team members and locations. See pricing for what each plan includes.

Who uses it

Teams where not everyone should see everything

Physiotherapists

Assessments, follow-ups and rehab classes, across your clinics.

Hair salons

Clients choose their stylist and a service that books at the right length.

Questions about team sign-in, no dashboard access

Why not just give staff a WordPress login?
A normal WordPress login opens the dashboard, where settings, plugins and your theme can be changed by mistake. Team members get a dedicated role with no dashboard access, so they can run their diary and nothing else.
Do team members need a WordPress login?
They get one behind the scenes, with a dedicated role that has no dashboard access. People who already have a WordPress login can be linked to it instead.
Where is the team's sign-in page?
On your own website, at yoursite.com/calidiary-login. It is not listed by search engines, and everything stays on your site.
Is the sign-in page secure?
It uses WordPress's own sign-in and password reset, limits repeated attempts with a growing wait, gives the same message for a wrong name or a wrong password, and works with two-step sign-in plugins such as the official Two-Factor plugin.
Can I switch someone's access off?
Yes, at any time, from the Team and locations screen.
