Online booking for workshops, classes and experiences

CaliDiary lets workshop and experience hosts sell places on their own WordPress website. Guests choose a date, buy one or more places or tickets, answer your questions, and pay by card. Classes stop at the number of places you set, escape rooms are booked whole by one group, and full dates offer a waiting list.

Examples

How it works day to day

Made-up businesses, real CaliDiary features. Each example names the features that do the work.

A cookery class with 12 places

The Saltmarsh Kitchen (a made-up cookery school) runs a Saturday pasta class for 12. Guests book up to 2 places each, tell the school about any allergies, and pay by card. When the class is full, others join the waiting list and are offered places that free up.

Which plan

Solo suits most hosts; Pro adds rooms and courses

The free plan sells places on group sessions and simple classes, with payment on the day or by bank transfer. Solo adds events with ticket types, QR tickets and check-in, card payments, waiting lists, class passes and discount codes. Escape rooms booked whole, courses and a team of hosts need Pro.

Places that never oversell

A workshop has a fixed number of stations, aprons or seats. In CaliDiary every date has a set number of places, and each booking takes one or more of them until the date is full. Places are counted inside the booking lock, so the last place goes to exactly one guest, even when two people book at the same moment.

Tickets, passes and courses

Different guests pay different prices. On Solo and Pro, ticket types such as Standard, Concession or Child each have their own price and limit, every guest gets a QR ticket by email, and you check people in with any phone at the door. Regulars can buy class passes for drop-in sessions (Solo and Pro), and multi-week courses are booked as one (Pro).

Escape rooms and private sessions

Some experiences belong to one group. On Pro, a room can be a resource booked whole: the group says how many are coming, only rooms that fit are offered, and nobody else can join. Private group classes work the same way, at their own price.

Getting paid up front

Guests pay by card when they book, through your own Stripe, PayPal or Mollie account, with no fee from CaliDiary. Deposits work for private bookings, discount codes for offers you choose to run, and every payment shows on the booking with a numbered invoice on Solo and Pro. Free taster sessions book straight through with no payment step.

Full dates and cancellations

When a date sells out, guests join a waiting list for that date, or a range of dates, and are offered places that free up by email, in order or to everyone at once, as you choose.

On the roadmap

Text and WhatsApp reminders through your own provider are on the roadmap. See the features page and pricing.

Questions from workshop and experience hosts

Can guests book several places at once?
Yes. You set the most places one booking can take, and questions can be asked for each guest, such as allergies.
Can we sell different ticket types?
Yes, on Solo and Pro: each ticket type has its own price and limit, and every guest gets a QR ticket for check-in.
Can an escape room be booked by just one group?
Yes, on Pro. A room set up as a resource booked whole is taken by one booking, and only rooms big enough for the group are offered.
What happens when a date sells out?
Guests can join the waiting list and are offered freed places by email, in the way you choose. Nobody is booked without saying yes.
