Invoices and credit notes, built in, not bolted on

On Solo and Pro, CaliDiary makes a numbered invoice for a booking automatically when it is paid in full (or when it is confirmed, or by hand), with your VAT number and a tax line, and a credit note when you refund. No add-on to buy and no separate invoicing tool: the invoices are made and kept on your own website, and an issued invoice never changes afterwards.

Available Plans: Solo, Pro

What it does for you

Invoices

Numbered invoices, made for you.

An invoice when a booking is paid in full, when it is confirmed, or by hand. No copying into another tool.

  • INV-2026-0001 onwards
  • Emailed once
Credit notes

Refund with a credit note.

Credit all or part of an invoice with a reason; the tax is reversed in proportion.

  • CN-2026-0001 onwards

Why invoices belong in your booking system

When the booking and the invoice live in different places, someone copies the details across, and mistakes creep in. With CaliDiary, the invoice is made from the booking itself: the right customer, the right service, the right price and the right tax, numbered in order. It is included in Solo and Pro, not sold as an extra, and it works with card payments and deposits as well as bank transfers.

When invoices are made

Choose in Settings → Invoices (Solo and Pro):

  • When the booking is paid in full (the default), and email it to the customer once;
  • when the booking is confirmed; or
  • only by hand, from the booking.

A booking never gets two invoices unless the first has been fully credited.

What an invoice holds

Your business details and VAT or tax number, the customer, the lines with their prices, and the tax rate and amount for each, worked out from the tax settings the booking was charged with. When an invoice is issued, CaliDiary keeps a copy of all of this. Changing your address, a service's price or a tax rate afterwards never alters an invoice already issued.

Credit notes

Refund all or part of an invoice with a credit note and a reason. Tax is reversed in proportion, and a credit note can never be for more than its invoice. Credit notes have their own numbering, CN-{year}-0001 onwards.

Viewing and sharing

Staff open invoices from the booking window while signed in. Customers get a View invoice link in their confirmation, acceptance and reminder emails and on their booking page. Those links are private: only a fingerprint of each link is stored, wrong links show a plain "not found", invoice pages are never cached or indexed by search engines, and repeated guessing is slowed down.

Your records stay yours

Invoices are made and stored on your own website, in your WordPress database, never on our servers. They are included in a customer's data export and kept when a customer's details are erased, because your accounts need them.

Questions about invoices and credit notes, built in

Which plans include invoices?
Solo and Pro, with nothing extra to buy. Every plan, including Free, records the tax and amounts of each booking; numbered invoices and credit notes come with Solo and Pro.
Do I need a separate invoicing tool?
Not for your bookings. CaliDiary makes the invoice, numbers it, emails the link and keeps it on your website. You can export your bookings and payments for your accountant from reports and exports.
Can my invoices show VAT?
Yes. Add your VAT or tax number in your business details, and each invoice shows the rate and the amount of tax for every line, worked out from your tax settings. Check with your accountant what your own invoices must show.
How are invoices numbered?
INV-2026-0001 for invoices and CN-2026-0001 for credit notes, counting up each year. Numbers are taken inside a database lock, so two invoices can never share a number. You can raise the next number (for example to follow on from an old system) but never lower it.
Can customers see their invoice?
Yes. The confirmation, acceptance and reminder emails include a View invoice link, and it is on the customer's booking page.
Is there a PDF?
Yes. Invoices open as a clean printable page, and customers can print them or save them as a PDF.
What happens to invoices when a customer asks to be erased?
Invoices are kept for your accounts (and the eraser says so), and they are listed in the customer's data export.
