When you need it

  • You meet clients on Google Meet and want each booking to get its own Meet link.
  • Your team uses Google Calendar and wants bookings to appear there, with busy times blocked.
  • You use free Gmail or Google Workspace: both work.

Before you start

  • Free Gmail and Google Workspace both work. On free Gmail, Meet calls with three or more people stop at 60 minutes; one-to-one calls are not cut short in this way.
  • Your website's address must start with https:// (Google accepts http:// only for localhost).
  • No card is needed. Ignore any free-trial offer in Google Cloud.
  • This is done once, by the business. Team members never make apps or keys: they only press Connect and allow it.

Step by step

  1. Go to console.cloud.google.com and sign in. Click the project picker (top left), then New project. Name it, such as “Our bookings”, click Create, and make sure it is selected.

[Screenshot to come] It will show: The New project form with the project name “Our bookings” and the Create button.
Google Cloud's new project form with the name Our bookings (Google Cloud console → project picker → New project)
  2. Open the menu (☰), then APIs & Services, then Library. Search for Google Calendar API and click Enable.

  3. Open the menu, then Google Auth Platform, then Branding, then Get started. Fill in the App name and User support email, then choose the Audience:

    • Google Workspace: choose Internal. Only people in your own Workspace can connect, there is no warning screen and no 7-day limit.
    • Free Gmail, or team members outside your Workspace: choose External.

Add your Contact information, agree to the User Data Policy, then Create.

[Screenshot to come] It will show: The Audience step with Internal and External choices, External selected, and the App name and User support email filled in above.
Google Auth Platform's set-up with the Internal and External audience choices (Google Cloud console → Google Auth Platform → Branding → Get started (Audience step))
  4. Open Data Access, click Add or remove scopes and filter by calendar. Tick the scopes ending:

    • calendar.events (create, change and delete booking events, with a Meet link);
    • calendar.freebusy (busy or free only, not event details);
    • calendar.calendarlist.readonly (the list of calendars, so you can choose where bookings go).

    Click Update, then Save.

[Screenshot to come] It will show: The scopes panel filtered by calendar, with the scopes ending calendar.events, calendar.freebusy and calendar.calendarlist.readonly ticked.
Google's scope list filtered by calendar with the three calendar scopes ticked (Google Cloud console → Google Auth Platform → Data Access → Add or remove scopes)
  5. Open Clients, click + Create client and choose Web application. Under Authorised redirect URIs, click + Add URI and paste the address from CaliDiary's Google Meet and Google Calendar section, Redirect address (paste it into your app) (use its Copy button). Click Create.

  6. Copy the Client ID and Client secret into CaliDiary's Client ID and Client secret boxes straight away: Google shows the secret only once.

[Screenshot to come] It will show: The OAuth client created dialog showing the Client ID and Client secret (both blurred) with their copy buttons, and the Authorised redirect URI behind it.
Google's OAuth client created dialog with the client ID and secret, blurred (Google Cloud console → Google Auth Platform → Clients → the new Web application client)
  7. External apps only: open Audience and click Publish app, so the status is In production. If you leave it in Testing, Google signs everyone out every 7 days.

[Screenshot to come] It will show: The Audience page with Publishing status, the Publish app button (or the status In production after publishing) and User type External.
Google's Audience page with the Publish app button for an External app (Google Cloud console → Google Auth Platform → Audience)
  8. In CaliDiary, press Save Google, then Test connection.

[Screenshot to come] It will show: The Google section with the Redirect address and Copy button, the Client ID and Client secret (Saved: …) boxes, Save Google, Test connection and Remove, and the Connected label after testing.
CaliDiary's Google settings with the client saved and connected (Settings → Integrations → Video and calendar (Google Meet and Google Calendar))
  9. Sign in the account that makes the business's meetings (the organiser account, such as [email protected]) and choose the business calendar. See The business calendar and the organiser account.

  10. Each person then connects their own calendar on Team and locations → Team → People with Connect Google Calendar, or in My diary, and chooses their account.

    • On an External app, Google shows “Google hasn't verified this app”. That's expected, because it is your own app: click Advanced, then Go to [your app name].
    • Click Allow.

What a Google connection can do

Google Workspace and free Gmail accounts both give calendar and Meet links. CaliDiary shows what each connection can do next to it.

Internal or External?

Your business uses Choose What it means
Google Workspace, and everyone who connects is in it Internal No verification, no warning screen, no 7-day limit. Only your Workspace can connect.
Free Gmail, or anyone connects from outside your Workspace External, then Publish app People see “Google hasn't verified this app” once when connecting (click Advanced, then go to the app).

An External app left in Testing works, but every sign-in ends after 7 days. CaliDiary warns you in Settings: “Publish your Google app so people don't have to sign in every week”.

Removing Google

Remove asks “Remove these details? Everyone’s calendar connected through this app is disconnected too. Entries already made stay in their calendars.”

Tips

  • There is no separate Meet permission: Meet links are made through Google Calendar events.
  • You don't need Google's full app verification for your own business. An unverified app is limited to 100 users, which is plenty for one business.
  • Google deletes an OAuth client that hasn't been used for six months. If CaliDiary stops connecting after a long break, check the client still exists.
  • Google sometimes renames its menus (Google Auth Platform used to be called the OAuth consent screen). If a name here doesn't match, look for the nearest one.

Common problems

“The Google Calendar API isn’t switched on in your Google Cloud project…”
Open APIs & Services → Library in the same project, search Google Calendar API and click Enable. Then test again.
The Client ID box says it should end with .apps.googleusercontent.com
You copied something else, such as the project number. Copy the Client ID from Clients again: it ends with .apps.googleusercontent.com.
Everyone has to sign in again every week
Your app is still in Testing. Open Google Auth Platform → Audience and click Publish app. Then each person signs in again once.
“Your business's Google app only accepts its own staff. Ask the owner to set it to External”
The app's Audience is Internal, so only people in your Workspace can connect. If someone outside it needs to connect, change the Audience to External and publish the app.
You lost the client secret
Google shows a new secret only once. Open the client in Clients, add a new secret, paste it into CaliDiary and press Save Google.
