API keys, webhooks, Zapier and Make

Connect Zapier or Make

There is no CaliDiary app in Zapier or Make: you connect them with their own built-in webhook steps, and API keys when a Zap should look up or change bookings.

Pro plan. On the Free and Solo plans you see a preview of this in the plugin, with Start free Pro trial and See plans. Compare the plans.

When you need it

  • Each new client consultation should become a row in a spreadsheet or a contact in your CRM.
  • You want a message in your team chat when a booking is cancelled.

Step by step

  1. In Zapier, make a Zap. For its trigger choose Webhooks by Zapier, then Catch Hook, and copy the address Zapier gives you. In Make, add a Webhooks module and copy its address.

  2. In WordPress, open CaliDiary → Settings → Integrations → API keys and webhooks and press Add webhook.

  3. Paste the address into Address, give it a Name (optional) such as “Zapier: new bookings to Sheets”, and choose when to send under Send when, such as A booking is made. Press Add webhook, then Done.

[Screenshot to come] It will show: The Zapier and Make sub-tab: the summary with “How to connect Zapier” in four steps, the note that there is no CaliDiary app in Zapier or Make, the Make card, and the link Open API keys and webhooks.

  4. Press Send a test event on the webhook, then Test trigger in Zapier (in Make, use its own way of fetching a sample from the Webhooks module). The example booking's details are then ready for the next steps, such as a new row in a spreadsheet.

[Screenshot to come] It will show: A webhook row for “Zapier: new bookings to Sheets” right after Send a test event, with the notice “Test event delivered to …”.
A test event delivered to the Zapier webhook (Settings → Integrations → API keys and webhooks)
  5. To look up or change bookings from a Zap, press Make API key in the API keys card, then add a Webhooks by Zapier action (GET, POST or PUT) with an address from the For developers list and a header named Authorization whose value is Bearer, a space, then your key. In Make, use the HTTP module the same way.

  6. Turn your Zap (or Make scenario) on.

Tips

  • Settings → Integrations → Zapier and Make has the same steps in short, with a link to Open API keys and webhooks.
  • Everything goes from your website straight to Zapier or Make: it never passes through CaliDiary's servers.
  • Zapier and Make sometimes rename their steps. Search their help for “webhook” if a name has changed.
  • Webhooks, API keys, Zapier and Make come with the Pro plan. On Free and Solo you see a preview.

Common problems

Zapier shows no example booking
Press Send a test event in CaliDiary first, then Test trigger in Zapier straight after.
“Choose at least one event to send.”
Tick at least one box under Send when.
“You can have up to 20 webhook addresses. Delete one you no longer use first.”
Delete an old webhook, or send several kinds of event to one address and filter them in Zapier or Make.
