VAT and sales tax on bookings, kept right

Switch tax on, give it a name such as VAT or GST, set the rate and choose whether your prices include it. Every booking keeps the subtotal, tax, rate and name it was charged, so later changes never alter it. Solo and Pro add named rates per service, such as Standard, Reduced and Zero.

Available Plans: Free, Solo, Pro

Everything about tax and VAT on bookings

Settings on every plan

In Settings → Tax and payments:

  • Tax on or off.
  • Its name: VAT, GST, sales tax or whatever your customers know it as.
  • The rate.
  • Whether your prices include tax or have it added on top.
  • Your tax number, shown where it is needed (on invoices with Solo and Pro).

What customers see

When tax is added on top, prices on the booking form show "+ VAT" (or your tax's name). Totals on the confirmation screen, in emails and on the customer's booking page show what is included, for example "£120.00 (includes VAT £20.00)". Free services show no tax at all.

Kept with every booking

Each booking stores the subtotal, the tax, the rate and the tax's name it was charged with. Changing your settings later, or a service's price, never rewrites past bookings, their payments or their invoices. Spreadsheet downloads include the tax for each booking as a plain number.

Named rates per service (Solo and Pro)

Create rates by name, choose one as the default, and set a rate on any service. A service on a zero rate never shows "+ VAT", and its total shows no tax. If a licence lapses, the single rate from the free plan applies again and the list is kept.

Questions about tax and VAT on bookings

Can my prices include VAT or have it added on top?
Either. If tax is added on top, the booking form shows "+ VAT" beside prices. Totals then read, for example, "£120.00 (includes VAT £20.00)".
Can different services have different rates?
On Solo and Pro, yes: create named rates (such as Standard 20%, Reduced 5% and Zero 0%), choose a default, and pick a rate for any service. Zero-rated services never show "+ VAT".
What happens if I change the rate later?
New bookings use the new rate. Existing bookings and invoices keep the rate they were charged with.
Does CaliDiary tell me which rate to use?
No. CaliDiary applies the rates you set; it does not give tax advice. Ask your accountant which rates apply to your services.
What happens to named rates if my licence lapses?
The single rate from the free plan applies again, and your list of rates is kept for when you renew.
