Automatic reminders, so customers turn up

CaliDiary emails customers when a booking is confirmed, requested, accepted, declined, moved or cancelled, and sends a reminder a set number of hours before. Each email has a link to view or cancel, so people who cannot come free the time for someone else instead of simply not turning up. You are emailed about new bookings, requests and cancellations.

Available Plans: Free, Solo, Pro

Everything about email confirmations and reminders

Why reminders matter

Often, a missed appointment is not deliberate: people forget, or something comes up and calling to cancel feels like a chore. An automatic reminder solves both. It arrives at the time you choose, and its link lets the customer cancel in seconds, which frees the time for someone else, or, on Solo and Pro, for a person on your waiting list. Add a deposit when people book on Solo and Pro and a no-show stops being a total loss.

You set it up once. From then on every booking gets its emails without you lifting a finger, on every plan including the free one.

Emails customers receive

When Email
A booking is confirmed Confirmation with the date, time, service, where and any payment details
A request is made Request received, and that you will confirm
A request is accepted or declined Accepted, or declined politely
A request runs out of time Not confirmed in time
A booking is moved The new date and time
A booking is cancelled By them or by you
Before the appointment One reminder, a set number of hours before
After the visit (Solo and Pro) One review request, with a button to your own review page

Every email has a view or cancel link that opens the customer's own booking page. The link is worked out from the booking reference and your site's secret key, so nothing secret is stored in your database.

Emails you receive

A new booking, a new request, and a customer cancelling. The new-booking email includes the customer's answers and the payment status. Optionally, the person who was booked can be emailed too.

Sent reliably

Emails are sent through WordPress's own mail after the visitor's page has answered, so booking never feels slow. Reminders are checked every 15 minutes, catch up if the site was quiet, and are never sent twice. Each email has an HTML version and a plain-text version.

Questions about email confirmations and reminders

Are reminders included on the free plan?
Yes. Every plan sends confirmations, change emails and one reminder per booking. Solo and Pro can send several reminders, such as one the day before and one two hours before.
Do reminders really reduce no-shows?
A reminder gives people the chance to remember, or to cancel in good time with one click, so the slot can be booked by someone else. Pair it with a deposit on Solo and Pro if missed appointments cost you money.
When is the reminder sent?
A set number of hours before the appointment (24 by default), which you change in Settings. A check every 15 minutes sends whatever is due.
What if my website was quiet and the reminder was late?
The next check catches up and sends it, and a reminder is never sent twice. Bookings made inside the reminder window don't get one, since the confirmation has just arrived.
Can I send several reminders, or text messages?
Several reminders per booking are on Solo and Pro. Text and WhatsApp reminders are on the roadmap, using your own provider account.
Can CaliDiary ask customers for a review?
Yes, on Solo and Pro. After the appointment, the customer is emailed once with a button to your own review page, such as your Google Business Profile or Trustpilot. Everyone is asked the same way, never after a missed or cancelled appointment, and at most once every 90 days by default. Each email lets the customer stop review requests.
My emails go to spam. What can I do?
CaliDiary sends through your website's own email set-up. If your site's emails land in spam, an SMTP plugin connected to your email provider usually fixes it.
