Customers manage their own bookings, without calling you

Each email a customer receives has a link to their own booking page on your website. There they see the date, time, service and where to go, any payment details and invoice, and can cancel (CaliDiary asks them to confirm first). No account or password is needed, and you are not answering "what time was my appointment?" calls.

Available Plans: Free, Solo, Pro

In detail

Everything about customers' own booking page

Fewer calls, fewer emails

Without a self-service page, every small question becomes a call or an email: what time is it, where do I go, how do I pay, can I cancel? CaliDiary answers all of them on one page your customer can open from any booking email, on any phone, without an account. When they cancel, the time is freed straight away and you are told by email, so the slot can be booked online by someone else.

What customers see

  • The service, date, time and person, and where (the location's name and address).
  • Payment details when payment is due: the amount, your instructions with their reference, and a Pay now button where the service has a payment link (Solo and Pro).
  • A View invoice link once an invoice has been issued (Solo and Pro).
  • A Cancel button. CaliDiary asks them to confirm, cancels, frees the time and emails both of you.

How it is reached

Every customer email (confirmation, request received, accepted, moved, reminder) includes a view or cancel link. It opens the page where your booking form lives, showing that booking.

The customer portal

Customers can also see all their bookings with you in one place, in the customer portal, and book again in a click. The booking page and the portal are part of every plan, including the free plan, and they run on your own website, so customers' details stay in your own database.

Questions about customers' own booking page

Do customers need to log in?
No. The link in their email opens their booking. It is worked out from the booking reference and your website's secret key, so nothing secret is stored.
Can customers reschedule their booking?
Not in one step. They cancel from their page and book a new time, which the customer portal makes quick with "My bookings" and "Book again". You and your staff can move any booking to a new time from the Overview screen.
Is it on the free plan?
Yes. The booking page and its view and cancel link come with every plan. Pay now buttons and invoices on the page need Solo or Pro.
Can I stop late cancellations?
Yes. Take a deposit when people book (Solo and Pro), so a late cancellation or a missed appointment is covered.
