Customer profiles with full history and private notes

CaliDiary keeps one profile per customer, recognised by their email address, with their details, how many times they have booked, their full booking history and your private notes. Each booking can also carry appointment notes for staff. It is all on the free plan, and all stored on your own website.

Available Plans: Free, Solo, Pro

Everything about customer profiles and history

The Customers screen

  • Search by name, email or phone.
  • See at a glance how many bookings each customer has made.
  • Open a profile for their details, private notes and full booking history.
  • Add a customer yourself, for example someone who rang.
  • Download a spreadsheet of your customers.

Notes that stay private

There are two kinds of note, both for staff only:

  • Private notes on the customer's profile: anything worth remembering about them, such as a preferred day.
  • Appointment notes on a single booking: what was discussed or done. CaliDiary calls these appointment notes, not clinical notes; it is a booking system, not a medical records system.

Privacy built in

Profiles live in your own WordPress database, never on our servers. When someone asks for their data, WordPress's Export Personal Data tool includes everything CaliDiary holds about them; Erase Personal Data removes it (keeping payment amounts and invoices your accounts need). "Remove personal details" on a profile does the same from the Customers screen. See privacy and GDPR tools.

Organised customers

  • Customer portal: "My bookings" and "Book again" for customers.
  • Customer tags: group customers in the way that suits your business.
  • Customer import: bring your existing customer list into CaliDiary.
  • Blocklist: stop someone booking again when you need to.

Questions about customer profiles and history

How does CaliDiary know it's the same customer?
By email address: one customer per email. A returning customer's new bookings join their existing profile.
Who can read private notes and appointment notes?
Only your staff in the WordPress admin. They are never shown to customers.
Can I remove a customer's details but keep my booking records?
Yes. "Remove personal details" keeps the bookings (so your figures stay right) without any personal details attached.
Can customers see their own history?
Yes. They can view or cancel each booking from the link in its emails, and the customer portal shows "My bookings" with "Book again".
