Two-way calendar sync, so private plans never clash with bookings

On Solo and Pro, connect a person's Google or Outlook (Microsoft 365) calendar. Bookings appear in it automatically, and anything already in that calendar, such as a dentist appointment or a school run, blocks those times on your booking form. Any other calendar, Apple included, can subscribe to a CaliDiary feed so bookings appear there too.

Available Plans: Solo, Pro
Illustration: private calendar events blocking times, and bookings added to the calendar.
Two-way calendar sync

What it does for you

Two ways

One calendar to check, not two.

Bookings appear in Google and Outlook calendars, and busy times there block bookings.

  • Each person connects their own
  • Solo and Pro
Private plans

Private appointments stay private.

Customers only see that a time is not free, never what is in your calendar.

  • No double bookings with private plans
  • Moves and cancels sync too
Your calendar

Google or Outlook, both ways.

Connect whichever of the two each person already uses. Any other calendar can subscribe to a feed.

  • Microsoft 365 work accounts
  • Apple Calendar: subscribe to a feed
How it works

Set up in minutes

  1. Connect a calendar

    From each person's profile.

  2. Bookings appear there

    New, moved and cancelled.

  3. Busy times are blocked

So customers only see real free times.

In detail

Everything about two-way calendar sync

Keep the calendar you already use

Most people already run their day from Google Calendar, Outlook or their iPhone. A booking system that lives somewhere else means checking two places, and sooner or later a customer books the hour you set aside for the school run. With two-way sync, CaliDiary turns the calendar you already use into a Google Calendar booking system on your own WordPress site: bookings go in, and your own plans come out as busy times.

Two directions

Direction What happens
CaliDiary → your calendar New, moved and cancelled bookings appear in your calendar automatically
Your calendar → CaliDiary Busy times in your calendar are treated as busy, so those times are not offered

Why it matters

The most common cause of double bookings is not two customers at once (CaliDiary's booking lock already prevents that). It is a private appointment that the booking system doesn't know about. Two-way sync closes that gap.

Calendars

Each person connects their own calendar from your website. Your bookings and customers' details stay in your website's database, as with every CaliDiary feature. Calendar sync is part of the Solo and Pro plans; see pricing.

Questions about two-way calendar sync

Does CaliDiary work with Google Calendar?
Yes. Bookings are added to your Google Calendar, and anything already in it blocks those times on your booking form. Outlook, including Microsoft 365 work accounts, works the same way. Apple does not offer a connection for this, so an Apple Calendar subscribes to a CaliDiary feed instead: bookings appear in it, but what is already in it cannot block your booking form.
Which plans include calendar sync?
Solo and Pro. On the free plan, bookings are still emailed to you and listed on the Overview screen.
Are my private appointments shown to customers?
No. Customers only see that those times are not free. The details of your own calendar entries stay private.
What happens when a booking is moved or cancelled?
The change reaches your calendar too, so the event moves or disappears without you touching it.
Can each team member connect their own calendar?
Yes. Each person connects their own, so their personal commitments block only their own diary.
