Team and places

The right person for every booking, without juggling diaries

On the Team and locations screen you add the people who take bookings, the services each one offers and whether they are taking bookings now. Customers then choose a person, or "anyone", and CaliDiary only offers times when someone who offers that service is free. Nobody has to keep a shared spreadsheet or pass messages along. Free and Solo cover one person; Pro has no limit.

Available Plans: Free, Solo, Pro

Everything about team scheduling

One booking system for the whole team

As soon as more than one person takes appointments, diaries start to drift: one colleague is double-booked, another sits idle, and someone at the front desk spends the day passing messages. CaliDiary's team scheduling gives everyone their own diary inside one booking form, so customers only ever see times when the right person is really free. It works the same for a two-person practice and a team across several locations.

Start with one person on the free plan, and move to Pro when the team grows. Each person can also connect their own calendar with two-way calendar sync.

The Team screen

For each person: name, email, phone, their WordPress login (if they have one), the services they offer, and whether they are taking bookings. Switching "taking bookings" off keeps them and their history but stops new bookings.

Your plan sets how many people you can add: one on Free and Solo, unlimited on Pro. Limits only stop adding; if you move from Pro to another plan, nobody already set up stops working.

What customers see

On the booking form, customers choose a service, then a person, but only from people who offer that service. Or they choose anyone, and the booking goes to the least busy free person. Free times are worked out from each person's own hours, their time off and their existing bookings, with the booking lock applied to that person's diary.

Hours and time off for each person

Each person can follow the business's opening hours or have their own weekly hours with breaks. Time off, such as holidays or training days, can be set for one person or for everyone. The Opening hours screen's 7-day preview shows the effect before anyone books.

With several locations

On Pro, each location lists the people who work there and the services offered there. Customers choose where to come first, then only see that location's people.

Team sign-in and access (Pro)

  • Team sign-in page: team members sign in on your website and see "My diary", without WordPress dashboard access.
  • Access levels: only their own diary, everything at their location (branch managers), or all bookings but not settings.

Questions about team scheduling

How many people can take bookings?
One on Free and Solo, and as many as you need on Pro (fair use). Pro includes unlimited people, so adding someone does not add to the bill.
Can customers choose who they see?
Yes. They pick from the people who offer the service they chose, or pick "anyone" if they just want the first free time.
What does "anyone" do?
It gives the booking to the least busy person who is free at that time and offers the service, which spreads work fairly across the team.
Can each person have their own hours and holidays?
Yes. Each person follows the business's opening hours or has their own, and time off can be added for one person or the whole business.
Can team members sign in without seeing the WordPress dashboard?
Yes, on every plan. A team sign-in page on your website shows "My diary". On Pro you choose what each person can see: their own diary, their location, or all bookings. People who already have a WordPress login can be linked to it instead.
