Team and locations

Invite a team member to sign in

Team members see their own diary on your team sign-in page, never the WordPress dashboard. Send each one an invitation to choose a password.

Plans
Plans: Free, Solo, Pro
In the plugin
CaliDiary → Team and locations → Team → Sign-in

When you need it

  • An adviser should see their own bookings without access to WordPress.
  • Someone’s invitation link has stopped working.
  • Someone leaves and should no longer see their diary.

Before you start

  • The person must be on the People tab: see Add a team member.
  • Team sign-in is on every plan.

Step by step

  1. Open CaliDiary → Team and locations, then Team → Sign-in. The Team sign-in page card shows its address, such as https://brightwell.example/calidiary-login/.

[Screenshot to come] It will show: The Team sign-in page card with the address https://brightwell.example/calidiary-login/, the two-step sign-in note, and the Invitations list: Alex Morgan “Can sign in”, Priya Shah “Invited” with Send the invitation again, Sam Reid “Not invited” with Invite to sign in.
The Sign-in tab with the team sign-in page address and each person’s invitation status (Team and locations → Team → Sign-in)
  2. Under Invitations, find the person. Their status shows beside Sign-in: as Not invited, Invited, Can sign in or Switched off.

  3. Press Invite to sign in beside their name. You can also do this from their row on the People tab.

  4. If they have no email address yet, the Email for … window opens. Enter their Email and press Save and send the invitation.

[Screenshot to come] It will show: The “Email for Sam Reid” window with Email [email protected] typed, and the buttons Cancel and Save and send the invitation.
The window asking for Sam Reid’s email address before sending the invitation (Team and locations → Team → Sign-in → Invite to sign in)
  5. You see “Invitation sent to …”. Their status becomes Invited.

  6. They get an email, “Brightwell Advisory: choose your password to see your diary”, with a Choose your password button. The link works once.

  7. Once they have chosen a password, their status becomes Can sign in. Share the team sign-in page’s address with them, so they can sign in and see their diary.

Switching sign-in off

Press Switch off sign-in beside their name. They can no longer open their diary, and if they are signed in they are signed out straight away. Their bookings and their login are kept, and you can invite them again at any time.

Tips

  • If the email address already belongs to a WordPress login, the person is linked straight away and can sign in with that login: you see “… can now sign in with the login they already have. We’ve emailed them.”
  • While someone is Invited, the button reads Send the invitation again: use it if their link has stopped working.
  • Two-step sign-in is optional. The Sign-in tab links to the free Two-Factor plugin if you want extra safety.
  • On Pro, once someone is invited you can switch on … can check people in at events, so they check in guests from their diary.

Common problems

The invitation link says “This link has stopped working”
Links work once and stop after a set time (24 hours, unless your website changes it). Press Send the invitation again, or they can use Forgot password? on the sign-in page.
“That email address belongs to a login that already signs in for someone else on your team.”
Each person needs their own email address. Use a different address for this person.
“They can already sign in.”
Nothing more to do: they sign in on the team sign-in page with their password.
“The invitation could not be sent.”
Your website couldn’t send the email. Check that your website can send email (an email-sending plugin often helps), then try again.
“That email or password isn’t right.” on the sign-in page
Ask them to use Forgot password? and Send me a link to choose a new password.
