Team and locations

Add a team member

Add each person customers can book, such as a partner or an adviser, and choose the services they offer.

Plans
Plans: Free, Solo, Pro
In the plugin
CaliDiary → Team and locations → Team → People

When you need it

  • You are setting CaliDiary up and want customers to book you by name.
  • A new adviser or partner joins and should take bookings.
  • You want to stop new bookings with someone without deleting them.

Before you start

  • Free and Solo include 1 person; Pro has no limit. The list shows how many you have, such as 1 of 1 person.
  • Add your services first if you want to choose them for the person straight away: see Add a service.

Step by step

  1. In WordPress, open CaliDiary → Team and locations. The Team tab opens on People.

[Screenshot to come] It will show: The People tab with its “What the People tab is” box, the meter “1 of 1 person”, the Add person button and Alex Morgan (Partner) under People who take bookings with the “Taking bookings” pill.
The People tab with one person, Alex Morgan, and the Add person button (Team and locations → Team → People)
  2. Press Add person. The Add person window opens.

  3. Fill in their details:

    • Name (required): shown to customers when they choose who to see, such as “Priya Shah”.
    • Job title (optional): shown under their name on the booking form, such as “Tax adviser”.
    • Photo (optional): press Choose image and pick one from the Media Library. Without one, their initials are shown.
    • Email (optional): needed if they should sign in to their own diary or be emailed about their bookings.
    • Phone (optional).
[Screenshot to come] It will show: The Add person window: Name “Priya Shah”, Job title “Tax adviser”, a photo chosen, Email [email protected], Services they offer with All services on, Taking bookings on, and the Add person button.
The Add person window filled in for Priya Shah, tax adviser (Team and locations → Team → People → Add person)
  4. Under Services they offer, keep All services switched on (it includes services you add later), or switch it off and tick the services they do.

  5. Leave Taking bookings on so customers can book them straight away.

  6. Press Add person. You see “Priya Shah added to your team.” and they appear under People who take bookings.

  7. They follow your opening hours until you give them their own: see Give a team member their own hours.

Deleting someone

Press Delete beside their name. The window warns: “Their working hours and time off are deleted too. This cannot be undone.” If you may need them again, switch off Taking bookings instead.

Tips

  • To stop new bookings with someone but keep their history, press Edit and switch off Taking bookings. Bookings they already have are kept.
  • A row that says Can’t sign in: no email has an Add email link: add one when they should see their own diary.
  • Administrators also see Their WordPress login (optional), to link the person to a login that already exists.
  • Once video and calendar is set up in Settings, each person can connect their own Google or Microsoft calendar from their row on the People tab: see Connect your own calendar.

Common problems

Pressing Add person does nothing and the page moves to a notice
Your plan’s limit is reached. The notice reads “The Free plan includes 1 person. To add more, upgrade your plan or remove one you no longer need.” Solo also includes 1 person, so more people need Pro: use Start free Pro trial or See plans.
“Enter their name.” appears under Name
Name is the only required field. Type the name customers should see, then press Add person again.
“Choose at least one service, or switch on “All services”.”
With All services off, tick at least one service, or switch All services back on.
“Enter an email address, such as [email protected], or leave it empty.”
Check the email for a typing mistake, or clear the box if you don’t have one yet.
