Add your own booking statuses

Name the stages your work really goes through, such as “Paperwork received”, while CaliDiary keeps free times, emails and reports right underneath.

Plans
Plans: Pro
In the plugin
CaliDiary → Settings → Your business → Your booking statuses

Pro plan. The Pro plan. On Free and Solo you see a preview of this with an upgrade link. Compare the plans.

When you need it

  • Your work has a stage between confirmed and finished that you track by hand.
  • You want the diary coloured by where each job has got to.

Before you start

  • Each status you add must behave like one of the five built-in ones. That is what keeps free times and reports correct, so decide which it is before you start.
  • The five built-in statuses are Confirmed, Waiting for you, Completed, Didn’t come and Cancelled.

Step by step

  1. Open CaliDiary → Settings → Your business and find Your booking statuses. Press Add a status.

[Screenshot to come] It will show: The “Your booking statuses” card listing one added status with its colour, and the Add a status button.
Your own booking statuses, each with a colour. (Settings → Your business)
  2. Give it a name, such as “Paperwork received”, and a colour.

  3. Choose what it behaves like: Confirmed, Waiting for you, Completed, Didn’t come or Cancelled. CaliDiary treats the booking that way underneath, with the usual emails.

[Screenshot to come] It will show: The Add a status window with the name, the colour picker, and the “behaves like” choice showing the five built-in statuses.
Adding a status and choosing which built-in one it behaves like. (Settings → Your business → Add a status)
  4. Open a booking and choose your status under Your status.

  5. Find bookings in it with Your status on the Overview. Spreadsheets gain a Your status column, and emails can show it with the Booking status detail.

Tips

  • Use a colour that stands out from the built-in ones, or the diary becomes hard to read at a glance.
  • Behaving like Cancelled frees the time for someone else, so pick it only when you really mean the slot is free.
  • Three or four of your own statuses is usually plenty. A long list slows staff down more than it helps.

Common problems

Add a status cannot be pressed
Your own statuses are a Pro feature. Start a free Pro trial, or see plans, to switch it on.
“Choose what this status behaves like.”
Every status must map onto a built-in one. Without it CaliDiary would not know whether the time is still booked, which would make free times and reports wrong.
A customer got an email I did not expect
The emails follow the built-in status it behaves like. If you do not want that email, switch it off on the Emails screen, or pick a different status to behave like.
The time was given away
The status behaves like Cancelled. Change what it behaves like, and the slot stays held from then on.
