See who did what: the activity log

A dated record of who did what: bookings made, changed, moved, cancelled or paid, and changes to your settings. Useful when something looks wrong and nobody remembers why.

Plans
Plans: Free, Solo, Pro

CaliDiary → Settings → Your data → Activity log

When you need it

  • A booking changed and nobody remembers who changed it.
  • You want to see what a member of staff did while you were away.
  • A customer says they were told something different.

Before you start

  • The log starts recording from the moment you update to a version that has it. It cannot show anything from before.
  • Anyone who can reach CaliDiary’s settings can read the log, so treat it as staff information.

Step by step

  1. Open CaliDiary → Settings, choose the Your data tab, then Activity log.

[Screenshot to come] It will show: The log listing several entries with who, what and when, including a booking moved and a setting changed.
The activity log showing who changed what, and when. (Settings → Your data → Activity log)
  2. Narrow the list by dates, by who did it, by kind — such as Bookings or Settings — or by typing a booking’s reference.

[Screenshot to come] It will show: The filters open: the date range, who did it, the kind, and the box for a booking’s reference.
Narrowing the activity log by dates, person and kind. (Settings → Your data → Activity log)
  3. To follow one booking from start to finish, open the booking and choose History, or press its reference in the log.

  4. Choose how long entries are kept, and press Save settings. Older entries are then deleted by themselves.

  5. Press Download spreadsheet to save the entries currently shown. The business owner and Admins can do this.

Tips

  • Keeping entries for a year is plenty for most businesses, and keeps the table small.
  • Entries record what changed, not the customer’s private answers, so the log is safe to look through with a member of staff beside you.
  • Changes made through the API or a webhook are recorded too, named after the key that made them.

Common problems

The log is empty
Nothing has happened since the log started recording, or your date filter is in the past. Clear the filters and check the dates.
An old change is missing
It happened before the log existed, or it is older than the time you chose to keep entries for. Entries past that age are deleted and cannot be brought back.
An entry says a change was made by someone no longer on your team
The log keeps the name as it was at the time, on purpose. Changing it later would make the record untrue.
Download spreadsheet is not there
Downloading is for the business owner and Admins. Other staff can read the log on screen.
