Export or erase a customer's data

WordPress's own privacy tools include CaliDiary, so one request covers a customer's bookings and the rest of their data on your website.

Plans
Plans: Free, Solo, Pro
In the plugin
CaliDiary → Settings → Your data

When you need it

  • A customer asks for a copy of the data you hold about them.
  • A customer asks you to delete their details.
  • You want to check what happens to CaliDiary's data if the plugin is deleted.

Before you start

  • Make sure the request really comes from that customer, for example by replying to the email address they booked with.

Step by step

  1. Open CaliDiary → Settings and choose the Your data tab.

[Screenshot to come] It will show: The Your data tab: the card “Export and erase a customer’s data” with Export personal data, Erase personal data and Suggested wording for your privacy policy, and below it the Your data card with its two toggles (both off).
The Your data tab with the links to WordPress’s export and erase tools (Settings → Your data)
  2. In Export and erase a customer's data, press Export personal data (or Erase personal data). This opens WordPress's own tool under Tools.

  3. Enter the customer's email address and send the request. WordPress emails them a link to confirm it.

[Screenshot to come] It will show: WordPress’s Export Personal Data screen with [email protected] typed in, Confirmation email ticked, and one finished request listed for that address.
WordPress’s Export Personal Data screen with a request for a customer’s email address (WordPress Tools → Export Personal Data)
  4. Once they have confirmed, finish the request in WordPress: download the export, or erase the data. Their CaliDiary bookings and details are included, listed as CaliDiary bookings and CaliDiary team sign-in.

  5. Use Suggested wording for your privacy policy for text you can adapt for your own privacy policy.

Tips

  • Erasing removes a customer's personal details but keeps the bookings without them, so your figures stay right. Their waiting-list entries are deleted.
  • Delete all CaliDiary data when the plugin is deleted is off unless you switch it on. Leave it off if you might reinstall CaliDiary.
  • Show customers' first names in calendar feeds is on this tab too: switch it off if your calendar feeds are seen by others.
  • Your customers' data stays on your own website: CaliDiary never sends bookings or customers' details to our servers.

Common problems

“An administrator can use these tools under Tools in WordPress.”
Your WordPress role can't use the privacy tools. Ask an administrator.
“Warning: deleting the plugin will permanently remove every booking, service and setting…”
You have switched on Delete all CaliDiary data when the plugin is deleted. Switch it off and press Save settings unless you really mean it.
