Add a service

A service is an appointment you offer, such as an initial consultation or a tax return review. Add it once, and customers can book it from your website.

Plans
Plans: Free, Solo, Pro
In the plugin
CaliDiary → Appointments → Services

When you need it

  • You are setting up CaliDiary and want customers to book your first appointment, such as an initial consultation.
  • You offer something new, such as a tax return review or a free 15-minute call.
  • You want to change a service's length, price or the people who do it.

Before you start

  • Add the people who do the service on Team and locations first, so you can tick them. See Add a team member.
  • The Free plan includes 5 services (classes and events count too). Solo and Pro have no limit.

Step by step

  1. In WordPress, open CaliDiary → Appointments and choose the Services tab.

    [Screenshot to come] It will show: The Services tab with its “What services are” box, the Add service button beside the meter “2 of 5”, and two service cards (Initial consultation, Tax return review) each showing its booking set-up “Consultations”.
    The Services tab listing two services, with the Add service button (Appointments → Services)
  2. Press Add service, next to the count of services you have.

  3. Fill in the service:

    • Name, such as “Initial consultation”;
    • Description (optional): a sentence customers see when they choose it;
    • Length (minutes), such as 60;
    • Price, such as 120.00. Leave it empty or 0 for a free service.
    [Screenshot to come] It will show: The Add service window: Name “Initial consultation”, a one-line description, Length (minutes) 60, Price (GBP) 120.00, Alex Morgan ticked under Who does it, Booking set-up “Consultations”.
    The Add service window filled in for a 60-minute initial consultation at £120 (Appointments → Services → Add service)
  4. Under Who does it, tick the team members who offer it. Someone set to do every service is already included.

  5. Under Booking set-up, choose the set-up that offers it, such as “Consultations”. A service in Not in a booking set-up yet can't be booked until you put it in one.

  6. Add Information for the customer (optional) if there is anything they should know or bring, such as last year's tax return.

  7. Keep Show to visitors on, then press Add service. The service appears in the list with its booking set-up.

    [Screenshot to come] It will show: The list after saving: “Initial consultation” in “Consultations”, and “Free 15-minute call” with the yellow pill “Not in a booking set-up yet”.

Tips

  • If you have only one appointment booking set-up, a new service goes into it by itself.
  • To stop taking bookings for a service without deleting it, edit it and switch off Show to visitors.
  • On Solo and Pro the service also has Payment link (optional), Can’t be combined and a review page. On Pro you can say it needs a room or equipment (Rooms and resources). On Free these show as previews.
  • The Services tab lists appointment services only. Classes are on Classes and courses, events on Events.

Common problems

“Enter a name.” or “Enter a price such as 45 or 45.50.” appears
Give the service a name, and type the price as a number without the currency sign, such as 45 or 45.50.
“Enter a length between 5 and 1,440 minutes.”
The length is in minutes, in steps of 5, from 5 minutes to a whole day (1,440).
The service says “No one does it yet, so it has no free times.”
Tick at least one person under Who does it, or give a team member All services on Team and locations.
The Add service button doesn't add anything and a plan notice appears
You have reached the Free plan's 5 services. Remove one you no longer need, or move to Solo or Pro (See plans).
Customers can't see the service on the website
Check it shows a booking set-up, not the yellow Not in a booking set-up yet, and that Show to visitors is on. Then put the booking set-up on your website.
