In the plugin
CaliDiary → Passes and memberships → Passes

Solo and Pro plans. On the Free plan you see a preview of this in the plugin, with Start free Solo trial and See plans. Compare the plans.

When you need it

  • Clients buy a block of sessions in advance.
  • You want a page on your website where people buy passes.

Before you start

  • Passes come with the Solo and Pro plans. On Free each tab shows a preview with Start free Solo trial and See plans.
  • Add the services, classes or events the pass will cover first.

Step by step

  1. Open CaliDiary → Passes and memberships. On the Passes tab, choose Pass types and press Add pass type.

  2. Enter the Name, such as “6 advice sessions”, the number of Uses, Use within (days) and the Price. Add a Description (optional) if you like.

[Screenshot to come] It will show: The Add pass type window: Name “6 advice sessions”, Uses 6, Use within (days) 180, Price 600.00, What it covers with Initial consultation and Tax return review ticked, Cancel in time to get the use back 24 hours, On sale on.
The Add pass type window for a pass of six advice sessions (Passes and memberships → Passes → Pass types → Add pass type)
  3. Under What it covers, tick the appointments, classes and events it can be used for: see What a pass or membership covers.

  4. Choose Cancel in time to get the use back: Any time before it starts, or at least a number of hours before (24 unless you change it).

  5. Decide whether it Can be used before it is paid (off: customers can use it once you mark it as paid). Leave On sale on and press Save pass type.

  6. Choose Pass shop. In Your pass shop, press Put it on a new website page to make a page called “Passes”, or Copy the shortcode [calidiary_passes] into a page, or add the CaliDiary pass shop block.

[Screenshot to come] It will show: Your pass shop card: the shortcode [calidiary_passes] with Copy and Put it on a new website page, the pass shop block line, the Offer “Buy a pass” on the booking form toggle, and Pass types on sale listing “6 advice sessions”.
The pass shop tab with its shortcode and Put it on a new website page (Passes and memberships → Passes → Pass shop)
  7. To show a Buy a pass link on your booking form too, switch on Offer “Buy a pass” on the booking form.

  8. To sell a pass yourself, for example over the phone:

    • choose Sold passes and press Sell a pass;
    • choose the Pass, enter the Customer’s name and Customer’s email (their code only works with this email address), tick Already paid if they have paid, and press Sell pass.
  9. When the money arrives for a pass that isn’t paid yet, press Details on it in Sold passes, then Mark as paid.

Tips

  • The customer is emailed their pass code, such as PS-7KQ2-M9XA, which they use with their email address when they book: see How customers use a pass.
  • In a pass’s Details, Add or take away uses corrects the count (use a minus sign to take away), with a Reason kept in its History.
  • Make sure each booking set-up has Accept passes and memberships on (it is unless you switch it off).

Common problems

“People who buy a pass aren’t told how to pay yet.”
Add your bank details or other payment instructions in Settings, or connect online payments. Use Open Settings: see Tell customers how to pay you.
“Tick at least one thing it covers.”
A pass must cover at least one appointment, class or event. Tick one under What it covers.
“Enter a price such as 80.00.”
Type the price as a number, without the currency sign.
Sell a pass says “Add a pass type first.”
Make a pass type on Pass types before selling one.
