Sell class passes

A class pass is a pack of places bought once and used up, such as 6 workshop places to use within 3 months. Customers pay for the pass, then book with its code.

Solo and Pro plans. On the Free plan you see a preview of this in the plugin, with Start free Solo trial and See plans. Compare the plans.

When you need it

  • You want to sell a pack of workshop places at a better price than paying each time.
  • Regular attendees prefer to pay once and book as they go.

Before you start

  • Passes come with the Solo and Pro plans. On Free you see a preview with Start free Solo trial and See plans.
  • A pass can cover appointments and events too: see Sell a pass for the full guide.

Step by step

  1. Open CaliDiary → Passes and memberships, choose Passes and then Pass types.

  2. Press Add pass type and fill in its Name (such as “6 workshop places”), the Uses, how long it lasts (Use within (days)) and the Price.

  3. Under What it covers, keep Every class on to cover all your classes (including ones you add later), or switch it off and tick the classes it covers.

[Screenshot to come] It will show: The Add pass type window: Name “6 workshop places”, Uses 6, Use within (days) 90, Price 150.00, and What it covers with Every class switched on.
The Add pass type window covering every class (Passes and memberships → Passes → Pass types → Add pass type)
  4. Choose Cancel in time to get the use back, whether it Can be used before it is paid, keep On sale on and press Save pass type.

  5. Check your class booking set-up accepts passes: on Classes and courses → Booking set-ups, edit the set-up and make sure Accept passes and memberships is on, in its Payment section. It is on unless you switch it off.

[Screenshot to come] It will show: The “Workshops” class booking set-up editor at its Payment section, with Accept passes and memberships switched on and its help text.
A class booking set-up with Accept passes and memberships switched on (Classes and courses → Booking set-ups → Edit)
  6. Put the pass shop on your website: on Passes → Pass shop, press Put it on a new website page, or add the shortcode [calidiary_passes] or the CaliDiary pass shop block to a page.

Tips

  • One use is one place on a class date. A use comes back if the booking is cancelled in time.
  • Customers type their pass code with their email address when they book: the code only works with that email. See How customers use a pass.
  • To sell a pass yourself, such as for cash, press Sell a pass on Sold passes.
  • Switch on Offer “Buy a pass” on the booking form on the Pass shop tab so people can buy one while booking.

Common problems

“Tick at least one thing it covers.”
Switch on Every class, or tick at least one class, appointment or event under What it covers.
“People who buy a pass aren’t told how to pay yet.”
Add your payment instructions in Settings → Payments, or connect online payments. See Tell customers how to pay you.
Customers can't use their pass on a class
Check Accept passes and memberships is on in the class's booking set-up, the class is covered by the pass type, and the pass has uses left and hasn't run out.
