Give a location its own tax set-up

A branch in another country, or one that charges different rates, can have its own country, tax name, rates and invoice details, separate from the rest of your business.

Plans
Plans: Pro
In the plugin
CaliDiary → Settings → Tax → Tax and currency by location

Pro plan. The Pro plan. On Free and Solo every location uses your business’s one tax set-up; you see a preview of this on those plans. Compare the plans.

When you need it

  • You have a branch in another country, with its own tax rules.
  • One location charges a different rate from the rest of your business.
  • A branch issues invoices in its own name, with its own numbering.

Before you start

  • Set up your business’s own tax first, under Settings → Tax: see Tax and invoices.
  • Add the location first, under Team and locations → Locations: see Add a location.
  • CaliDiary does not give tax advice. Check with your accountant what each branch must charge.

Step by step

  1. Open CaliDiary → Settings and choose the Tax tab. Find Tax and currency by location.

    [Screenshot to come] It will show: The “Tax and currency by location” card listing City office and West End office, each with a Change button; City office shows “Your business’s tax set-up” and West End office “Its own tax set-up”.
    The Tax tab showing each location and whether it uses its own tax set-up. (Settings → Tax)
  2. Press Change next to the location, and switch on Its own tax set-up.

  3. Choose, for that location:

    • its country;
    • the tax’s name there, such as VAT, GST or Sales tax;
    • whether prices include the tax;
    • what each of your named rates means there. Leave a rate blank and it uses your business’s percentage.
    [Screenshot to come] It will show: The location’s tax window open, with “Its own tax set-up” on, a country chosen, the tax’s name, the prices-include-tax choice, and the named rates with one left blank.
    A location’s own tax set-up, with one rate left blank to follow the business. (Settings → Tax → Change a location)
  4. Add its tax number and the business details for its invoices, and choose whether its invoices have their own numbers rather than carrying on your main sequence.

  5. Press Save location. Bookings made from then on use it. Past bookings and invoices keep exactly what they were charged.

Tips

  • A location that leaves a named rate blank follows your business’s percentage for it, so you only fill in what differs.
  • A branch with its own invoice numbers starts at 1 and never clashes with your main sequence.
  • A location can take a different currency as well as different tax: see Take bookings in another currency.

Common problems

Change is there but Its own tax set-up cannot be switched on
This is a Pro feature. On Free and Solo the card shows a preview with an upgrade link. Start a free Pro trial, or see plans, to switch it on.
“Choose a country for this location.”
A location with its own tax set-up needs a country, because that is what decides its rules. Pick it from the list and save again.
A booking was charged the old tax
Only bookings made after you saved use the new set-up. A booking already taken keeps what the customer agreed to, which is why its invoice still shows the old figures.
The totals in reports look split up
That is deliberate when locations use different currencies: nothing is ever converted, so each currency is totalled on its own.
