Add an event and its dates

An event happens on dates you set, such as a year-end tax seminar, and people book tickets for a date. Add the event, then its first date.

Solo and Pro plans. On the Free plan you see a preview of this in the plugin, with Start free Solo trial and See plans. Compare the plans.

When you need it

  • You run a seminar, open evening or talk on a particular date.
  • You sell tickets with a fixed number of places.
  • You want to add another date to an event you already run.

Before you start

  • Events come with the Solo and Pro plans. On Free, the Events menu item shows what events look like, with Start free Solo trial and See plans.
  • You need an event booking set-up: make one on the Booking set-ups tab of Events if you haven't yet.

Step by step

  1. Open CaliDiary → Events and choose the Events tab.

  2. Press Add event.

  3. Fill in the event:

    • Booking set-up: the event set-up that sells it (it starts as your first one);
    • Name, such as “Year-end tax seminar”, and a Description (optional) and Image (optional);
    • Ticket price, used when the event has no ticket types (leave it empty or 0 for free);
    • Places per date, such as 40;
    • Where (optional), or a Link to join online (optional).
    [Screenshot to come] It will show: The Add event window: Booking set-up “Seminars”, Name “Year-end tax seminar”, Ticket price 25.00, Places per date 40, Where “City office, Glasgow”, and When tickets are on sale.
    The Add event window filled in for a year-end tax seminar (Events → Events → Add event)
  4. Under When tickets are on sale, leave On sale from (optional) empty to sell now, and choose when to Stop selling.

  5. Keep Show to visitors on and press Add event. You see Event added. Now add its first date.

  6. In Add a date for …, choose the Date, the Places, when it Starts and Ends, and Who runs it (optional). Press Add date.

    [Screenshot to come] It will show: The window “Add a date for Year-end tax seminar”: Date, Places 40, Starts 18:30, Ends 20:30, Who runs it Alex Morgan, and Add date.
    The window for adding the event's first date (Events → Events → Add a date)
  7. The event's card lists its dates with what is booked. To run it again, press Add a date.

    [Screenshot to come] It will show: The Year-end tax seminar card with its set-up, price and venue, its dates table (Date, Time, Booked, Status “On sale”) with Check in, Print all tickets, Door list, Edit and Cancel, and Add a date.
    An event card with its dates and their buttons (Events → Events)

Tips

  • Add ticket types, such as General and Student, once the event is saved: see Ticket types and QR tickets.
  • The person who runs a date sees it in their diary and can check people in for it.
  • Switch on Show “Only N left” when few places are left to show honest scarcity when it is true.
  • A date with bookings keeps its day and times as customers were told. You can still change its places.

Common problems

“Sales must end after they start.”
Check On sale from (optional) and On sale until (optional): the end must be after the start.
“Enter a web address that starts with https://”
The online link must be a full address, such as a meeting room link starting with https://.
“This date can’t have fewer places than are booked already.”
More tickets are sold than the places you typed. Keep the places at or above the number booked.
I can't delete an event
An event with bookings can't be deleted. Edit it and switch off Show to visitors instead.
