Ticket types and QR tickets

Ticket types let you sell different tickets for one event, each with its own price and limit. Every booking gets QR tickets to show at the door.

Solo and Pro plans. On the Free plan you see a preview of this in the plugin, with Start free Solo trial and See plans. Compare the plans.

When you need it

  • You want a cheaper ticket for students, or an early-bird price.
  • You want each guest to have their own QR ticket, or one for a whole group.
  • You need the name of each person attending.

Before you start

Step by step

  1. Open CaliDiary → Events, choose the Events tab and press Edit on the event.

  2. Scroll to Ticket types and press Add a ticket type.

[Screenshot to come] It will show: The event editor at Ticket types: General £25.00 listed, and the open “Add a ticket type” form with Name “Student”, Price 10.00, Tickets per date 10 and On sale on.
Adding a Student ticket type to an event that already has General tickets (Events → Events → Edit → Ticket types)
  3. Enter the Name (such as General, Student or VIP) and its Price. Add a Description (optional) if it needs explaining, such as “Show your student card at the door”.

  4. If you like, set Tickets per date (optional) (0 means no limit of its own) and Most per booking (optional), and dates for On sale from (optional) and On sale until (optional) for an early-bird price.

  5. Choose the QR tickets for this type, and whether it is Staff only (hidden from visitors) or Needs approval. Keep On sale on and press Add ticket type.

  6. Under QR tickets, choose what to Give each booking: one ticket per person, each with its own QR code, or one ticket for the whole group. Choose how Printed tickets and PDFs are laid out.

[Screenshot to come] It will show: The QR tickets settings (Give each booking: one ticket per person / one for the whole group; Printed tickets and PDFs) and Ticket holders with Ask for the name on each ticket switched on.
The QR ticket and ticket-holder settings for an event (Events → Events → Edit → QR tickets)
  7. Under Ticket holders, switch on Ask for the name on each ticket if you need every guest's name, and tick any questions to ask for each ticket holder.

Tips

  • Ticket types and the QR and ticket-holder settings save straight away: you don't need to press Save changes on the event for them.
  • Customers get their tickets in their confirmation email, and on a page they can print.
  • A ticket type that Needs approval waits for you to accept each booking, such as for complimentary press tickets.

Common problems

“Enter a name, such as General or VIP.”
Each ticket type needs a name customers will understand.
“Enter a price such as 20 or 20.50.”
Type the price as a number without the currency sign. Use 0 for a free ticket.
“Sales must end after they start.”
Check the ticket type's on-sale dates: the end must be after the start.
