When you need it

  • Guests are arriving at your seminar and you want to scan their tickets.
  • Someone has lost their ticket and you need to find them by name.

Before you start

  • Use a phone, tablet or laptop with a camera, on your website's secure (https) address.

Step by step

  1. Press Check in beside the date, on the Events tab or in the date's window on the Overview. You can also open Overview → Check in and choose the Date.

  2. The counts show how many have arrived out of how many, and by ticket type when there are two or more. They refresh every few seconds.

[Screenshot to come] It will show: The Check in screen for Year-end tax seminar: the Date choice, the counts card (such as 9 of 14 arrived, with General and Student counts), Scan tickets and Check in by name.
The check-in screen showing how many guests have arrived (Events → Overview → Check in)
  3. Press Scan tickets and allow the camera if your browser asks. Point it at a ticket's QR code.

  4. A valid ticket shows Valid with the guest's name and ticket type, and is checked in. Scanning starts again after a moment. Press Undo if you checked in the wrong ticket.

[Screenshot to come] It will show: The green result “Valid: Jordan Lee, General” / “Checked in.” with Undo, and below it Check in by name with results for “Casey” and their Check in and Undo buttons.
A valid ticket checked in, and the search for a guest by name (Events → Overview → Check in (result))
  5. Someone without their ticket? Under Check in by name, type their name, email or booking reference in Find by name, email or reference, press Find, then Check in beside them.

  6. Press Stop scanning when the doors close. Download the list (CSV) and Print a door list are on the same screen.

Tips

  • For a group ticket, CaliDiary asks how many of the people on it have arrived.
  • The person who runs the date can check people in from their own diary on the team sign-in page.
  • A Viewer can see who has arrived and print the door list, but can't check people in.

Common problems

“Already used at …”
That ticket was checked in already, at the time shown. Ask whether someone else used it, or check the name in the list.
“Not for this date”, “Cancelled” or “Not confirmed yet”
The ticket is for another date, its booking was cancelled, or it is a request you haven't accepted. Accept requests from the Overview.
“The camera only works on a secure (https) address…”
Open your website at its https:// address. Until then, check people in by name.
“The camera is blocked for this website.”
Allow the camera in your browser's settings for your website, then press Scan tickets again.
“No tickets match.”
Check the spelling, or try the email address or booking reference. Type at least two letters.
