When you need it

  • The teacher is away one week and someone else is covering.
  • One week's workshop has to move to another evening or room.
  • You need to call off one date, or add an extra one.

Step by step

  1. Find the date, in either place:

    • on the Classes tab, in the list Dates from … to … under the class (use Earlier and Later to move through the weeks);
    • on the Overview tab, in the calendar: select the date to open it.
[Screenshot to come] It will show: The list “Dates from … to …” under Bookkeeping basics with Earlier and Later, columns Date, Time, Booked (such as 5 of 12) and Status, and Register, Change and Cancel on each date; one date tagged “Changed this week”.
A class's coming dates with Register, Change and Cancel buttons (Classes and courses → Classes)
  2. To change it, press Change. In Change this week’s class, change the Date, Starts, Ends, Teacher, Room (optional), Level (optional) or Places.

[Screenshot to come] It will show: The window “Change this week’s class” with Date, Places, Starts, Ends, Teacher, Room and Level, the notes “Only this week changes…” and “If you change the time or teacher, the bookings move with it…”, and Save this week.
The window for changing one week's class (Classes and courses → Classes → Change)
  3. Press Save this week. Only this date changes: the weekly time stays as it is. If people are booked and you changed the time or teacher, their bookings move with it and each customer is emailed the new details.

  4. To call it off, press Cancel. The message says how many places are booked: their bookings will be cancelled and each customer emailed.

  5. Press Cancel this class to confirm. This can't be undone.

[Screenshot to come] It will show: The confirmation “Cancel Bookkeeping basics on …?” saying 5 places are booked and each customer will be emailed, with the Cancel this class button.
The confirmation before cancelling one class date (Classes and courses → Classes → Cancel)
  6. To add an extra date, press Add a one-off class (under the class on the Classes tab, or on the Overview toolbar, where you choose the class first), set the date and time and press Add class.

Tips

  • A changed date is marked Changed this week, and a one-off date One-off, so you can spot them in the list.
  • Change and Cancel show only for dates that are still to come and not cancelled.
  • Cancelling one date of a course doesn't cancel the course's bookings: tell the people booked yourself.

Common problems

“Places can’t be fewer than those booked.”
More people are already booked than the number you typed. Keep the places at or above the number booked.
“The end must be after the start.”
Check Starts and Ends: the end time must be later than the start.
Add a one-off class is greyed out on the Overview
It needs a weekly class to copy. Add a class with a weekly time first: see Add a class.
