Consultation first
Good aesthetics practice starts with a conversation. Make the consultation its own free service, so new clients can book it with no payment step, and ask on the booking form about skin concerns, medication, allergies and previous treatments. The practitioner reads the answers before the client arrives, and the consultation is spent on advice rather than paperwork.
A check before you confirm
For treatments that need care, choose requests you approve. A request holds its time so nobody else can take it, the client is told it has been received, and you accept or decline from the Overview screen. With card deposits switched on, the client is only charged once you accept.
Photos and answers stay private
Clinic answers are sensitive. CaliDiary stores them in your own WordPress database, and uploaded photos in a private folder on your server that blocks access from the web. Only signed-in staff can open them, through signed links from the booking, and hidden location details are removed from photos. Encrypting sensitive answers in the database is on the roadmap. CaliDiary keeps appointment notes, not clinical records.
Several practitioners and rooms
On Pro, each practitioner has their own hours, the treatments they offer and their own time off, and customers can choose who they see or the first person free. Treatment rooms and equipment can be booked as resources, so a laser treatment is only offered when both the practitioner and the laser room are free.
Deposits and invoices
Treatments can take a deposit by card through your own account, with the balance on the day. Numbered invoices with VAT and credit notes are made on your own website on Solo and Pro.
On the roadmap
Encrypted sensitive answers, text and WhatsApp reminders, and packages of treatments are on the roadmap. See every feature and its plan on the features page.
