Assessment first, treatment after
Chiropractic and osteopathy clinics, sports massage therapists and acupuncturists all book a mix of appointment lengths. In CaliDiary each service has its own length, price and buffer, so a 45-minute new patient assessment only appears where 45 minutes are free and a 30-minute treatment fills the shorter gaps. The booking lock means two patients never get the same slot.
Packs and courses of treatment
Patients often need a course of treatment. On Solo and Pro, a pack of sessions with an expiry date can be bought by card and booked against one session at a time, and the patient's profile shows what is left. Card payments go through your own Stripe, PayPal or Mollie account, and a deposit for new patients reduces no-shows. See classes, courses and passes.
Health questions, privately
The booking form asks the questions your first visit needs, and on Solo and Pro a question can appear only when relevant. Answers are stored in your own WordPress database, appointment notes are for staff only, and WordPress's export and erase tools include everything. Encrypting sensitive answers in the database is on the roadmap. CaliDiary keeps bookings, not clinical records.
Several rooms, several places
A clinic with treatment rooms can, on Pro, make each room a resource, so a time is offered only when both a practitioner and a room are free. Practitioners who also work at a gym or sports club have working hours by location, so patients only see the days they are at each. Two-way calendar sync keeps everyone's own calendar up to date.
Reminders that cut missed appointments
Every patient gets a confirmation and email reminders at the times you choose, with a link to view or cancel. Text and WhatsApp reminders are on the roadmap. See email reminders.
