API keys and webhooks for your booking data

On Pro, the Connections screen links CaliDiary to your other tools. Webhooks tell them the moment a booking is made, moved, cancelled, completed or missed, or a payment or refund comes in. API keys let your own tools read and change bookings and customers. Everything goes straight from your website to the addresses you choose.

What it does for you

Webhooks

Tell other tools the moment a booking changes.

Choose the events to send to each address. Every message is signed, so the other tool knows it came from you.

API keys

Let your own tools read and change bookings.

Each key can only read, or read and change, and can be revoked at any time.

In detail

Everything about aPI keys and webhooks

Webhooks

Add an https address, give it a name and choose the events it should get. When one happens, your website sends a JSON message to that address in the background, a moment later, so customers never wait while they book. Each message carries a CaliDiary-Signature header made with that webhook's own signing secret, which is shown once when you add it, and each event has its own id, so the other system can tell a repeat. Send a test event sends made-up details to check the connection.

Addresses must be public https addresses: CaliDiary refuses ones that point at your own server or a private network.

API keys

Make a key for each tool, named after what it is for, and choose read only or read and change. The key is shown once; only a keyed hash of it is stored. Requests send it as Authorization: Bearer followed by the key. Each key can make up to 120 requests a minute, acts only with CaliDiary's day-to-day permissions of the person who made it, and stops working when it is revoked or that person can no longer manage CaliDiary.

Zapier, Make and other tools

Any tool that can receive a webhook or send a request with a key can be connected, including Zapier and Make, using webhooks and API keys (for example Zapier's own webhook step). Settings › Integrations shows the steps. A CaliDiary app in Zapier's directory is on the roadmap.

Because everything is sent from your website, connections go straight from your site to your other tools, keeping to the rule that businesses' booking data never reaches our servers.

Questions about aPI keys and webhooks

Which plan includes API keys and webhooks?
Pro. On other plans, keys stop working and nothing is sent, but your keys, webhooks and log are kept, so moving back to Pro picks up where you left off.
Which events can a webhook send?
A booking made, moved, cancelled (including a request declined or one that ran out), completed or marked as missed; a payment received or refunded; and a new customer.
What happens if the other tool is down?
CaliDiary tries again, six times over about 24 hours. If every try fails, that address is paused and you are emailed. The delivery log shows each try, and you can send a delivery again.
What can an API key reach?
Bookings and customers (read, or read and change), and free times, services, booking set-ups, people and locations (read only). A key can never change settings, reach other parts of WordPress, or be used to sign in to the dashboard.
Can I use Zapier or Make?
They can be connected using webhooks and API keys, for example with Zapier's own webhook step. A CaliDiary app in Zapier's directory is on the roadmap.
Does it run on your servers?
No. Webhooks are sent from your own website straight to the addresses you choose, and the API runs on your website, so your booking data still never reaches CaliDiary.
