Examples

How it works day to day

Made-up businesses, real CaliDiary features. Each example names the features that do the work.

Discovery calls that qualify themselves

Northlight Studio (a made-up design agency) offers a free 30-minute discovery call. The form asks for the budget range, the deadline and the website address; a question about e-commerce appears only when the prospect ticks "online shop". The call starts with the brief already read.

The right specialist for the call

Prospects choose web, branding or marketing, and only the specialists who offer that service are shown, or the first one free. Look busy keeps a new studio's diary looking well used.

Which plan

Pro suits an agency team; Solo suits a freelancer

A freelancer can take discovery calls on Solo, with qualifying questions, video links, card payments, invoices and calendar sync. An agency where several specialists take calls needs Pro for unlimited people, and Pro covers 3 websites, useful for agencies running several brands.

Discovery calls that convert

Agencies win work on the first call. A booking form on your contact page lets a prospect pick a time while they are still keen, instead of waiting for a reply. Qualifying questions (budget, deadline, website, services needed) arrive with the booking, and on Solo and Pro follow-up questions appear only when relevant, so the form stays short. See the booking form builder.

Paid sessions and workshops

Strategy sessions, audits, workshops and training days can be paid when they are booked, in full or with a deposit, through your own Stripe, PayPal or Mollie account. Numbered invoices with VAT and credit notes are made on your own website on Solo and Pro, and discount codes reward repeat clients.

IT support on site

IT support providers can let client businesses book visits: the office address is asked on the form, buffers protect travel time between visits, and each engineer's hours and services decide what is offered.

Your team's calendars, in sync

Two-way sync with Google, Outlook and Apple calendars means internal meetings block booking times and new bookings appear straight away in each person's calendar. Video links for Zoom, Microsoft Teams and Google Meet are made for every online call. See calendar sync.

On your own website

The booking form sits on your WordPress site with a block, a shortcode or the Elementor widget, in your own colours, rather than sending prospects to a third-party booking page.

Questions from agencies

Can we see which campaign a booking came from?
Yes, on Solo and Pro. A hidden field keeps a value from the link the visitor followed, such as ?source=newsletter, and it is saved with the booking.
Can prospects choose the type of project first?
Yes. Each project type can be a service, and only the specialists who offer it are offered.
Can we run free webinars?
Yes. A free group session with a set number of places stops taking bookings when it is full, and each attendee gets a video link.
Can an agency use CaliDiary on clients' websites?
Each website needs its own licence on paid plans. Pro covers 3 websites, and an extra website can be added to either paid plan.

Consultants

Discovery calls, paid strategy sessions and client workshops.

Photographers
