Clinics and health

Online booking for opticians and hearing clinics

CaliDiary lets customers book an eye examination, a contact lens fitting, a hearing test or a hearing aid fitting on your practice's WordPress website. Each appointment needs the right specialist and often the right room, and CaliDiary only offers times when both are free.

Examples

How it works day to day

Made-up businesses, real CaliDiary features. Each example names the features that do the work.

Eye tests in the testing room

Clearview Eyes & Hearing (a made-up practice) has one testing room and two optometrists. On Pro, the testing room is a resource, so an eye examination is only offered when an optometrist and the room are both free.

A second branch on Saturdays

A dispensing optician runs Saturday clinics at a second shop. With working hours by location, customers choosing that branch only see Saturdays, and every email says which address to go to.

Which plan

Pro suits a practice with rooms and staff; Solo suits a sole practitioner

A sole optometrist or audiologist can work on Solo, with choice questions, several reminders, invoices and up to 3 locations. A practice with several specialists and testing rooms needs Pro, where rooms and equipment are booked as resources alongside people.

Compare Free, Solo and Pro

The right person and the right room

Eye examinations need a testing room and an optometrist; hearing tests need a quiet booth and an audiologist. On Pro, rooms and equipment are resources, and a service can need both a person and a room, so CaliDiary only offers times when everything needed is free. Visitors can choose a particular optometrist or simply the first one free. See rooms, desks and equipment.

Free and paid, side by side

Many practices offer free hearing tests or free glasses collections next to paid examinations and fittings. The price is set per service, so free appointments book straight through and paid ones can be paid on the day, by bank transfer, or by card through your own account on Solo and Pro.

Fewer missed appointments

Eye and hearing appointments are often booked weeks ahead. On Solo and Pro you can send several email reminders, for example a week before and the day before, each with a link to view or cancel. Text and WhatsApp reminders are on the roadmap.

Customers' details stay with the practice

Answers about glasses, lenses and hearing aids are kept in your own WordPress database and only your staff can see them. Appointment notes are for staff only, and WordPress's export and erase tools include CaliDiary's data. CaliDiary is booking software, not a clinical records system.

Branches and accessible booking

A practice with a second shop makes each a location with its own hours and staff. The booking form is built and tested to WCAG 2.2 AA, with large text support and full keyboard and screen-reader use, which matters for customers with low vision or hearing loss. See accessible booking.

Questions from opticians

Can an appointment need a room as well as a person?
Yes, on Pro. A testing room or a booth can be set up as a resource, and only times when both the specialist and the room are free are offered.
Can hearing tests be free while fittings are paid?
Yes. The price is set per service; a free service books with no payment step.
Can customers book an eye test and a lens fitting together?
Yes, on Solo and Pro: customers choose more than one service, and they run back to back with one person.
Can we send more than one reminder?
Yes, on Solo and Pro. Free sends one email reminder; paid plans can send several at the times you choose.
